Job Description:
We are seeking an experienced Assistant Office Associate who is proficient in QuickBooks, has experience in pulling permits, and is knowledgeable about ordering materials like gravel and concrete. The ideal candidate will be highly organized, detail-oriented, and capable of managing multiple tasks simultaneously. This role is critical to maintaining the efficiency of our operations and ensuring that all administrative aspects of our projects are handled with precision.
Responsibilities:
- Manage daily office operations, including scheduling, communication, and documentation.
- Utilize QuickBooks for bookkeeping, invoicing, and financial reporting.
- Prepare and submit permit applications for various construction projects.
- Order and coordinate delivery of construction materials, including gravel and concrete.
- Maintain records of all permits, material orders, and financial transactions.
- Liaise with clients, vendors, and government agencies as necessary.
- Assist in managing project timelines and ensuring that all administrative tasks are completed on schedule.
- Provide support to the management team and other staff as needed.
Qualifications:
- Proven experience as an Office Manager or in a similar administrative role, preferably within the construction industry.
- Proficiency in QuickBooks and other office software.
- Experience with pulling permits and familiarity with local permitting processes.
- Knowledge of construction materials, particularly gravel and concrete, and the ability to manage orders and deliveries.
- Strong organizational skills and attention to detail.
- Excellent communication and interpersonal skills.
- Ability to multitask and manage time effectively.
- A proactive approach to problem-solving and the ability to work independently.
- Efficiently using computers for data entry, inventory management, and other administrative tasks.
- Answering phone calls and responding to customer inquiries in a professional and courteous manner.
- Performing filing and organizing documents to maintain an efficient and tidy workspace.
- Handling general administrative duties as assigned.
- Ability to both sit and stand for extended periods of time as needed.
- Providing excellent customer service to ensure customer satisfaction and retention.
- Valid driver’s license and reliable transportation.
- Willingness to work flexible hours, including weekends and holidays.
