MaxHealth in looking to hire a full-time Front Office Lead to partner with office management with monitoring the performance of our Front Office staff along with check-in and check-out functions, collecting co-payments, scheduling patients, answering phones, and provide excellent customer service overall.

Must be Bilingual in Spanish and have Referrals experience to be considered. Normal hours of operation are Monday- Friday 7 : 30a-4 : 30p.
Responsibilities :
- Answer phones, respond to callers needs or transfer as appropriate.
- Schedule patients using computer system.
- Enter all new patient information accurately and efficiently.
- Assist in ensuring all patient preparations are made for upcoming appointments.
- Follow up on cancellations and no-shows.
- Complete any incident reports regarding patient issues.
- Accurately and efficiently schedule discharge orders.
- Accurately and efficiently enter billing information.
- Accurately collects patient co-pays / co-insurance.
- Review clerical supply needs and submit supply orders in a timely fashion to keep an appropriate amount on hand.
- Ensure that office is kept clean and janitorial service is being maintained appropriately.
- Document and report any facility management issues in a timely manner (i.e. plumbing, electrical)
- Appropriately identify and report issues with patients and referring physicians.
- Serve as a positive role model for other staff members and act as a front office resource / liaison for internal and external customers (i.e. physicians and management).Act as a point of escalation for the front desk and ensures information is communicated to direct report appropriately.
- IVR including account balance update, co-pay and deductible checks and expected collection amounts.
- Ensure staff is collecting appropriate time of service collections.
- Ensure staff is completing Day Close report correctly and providing coaching as needed.
- Complete Final Day Close report including documentation of overall goal and collection summary.
- Incoming complaints will be logged and attempted to be resolved. Escalation will happen as needed
- Monitor front desk schedule and ensure it is followed by staff. This includes lunch breaks, scheduled time off and securing float coverage. When coverage is not available escalation will occur.
- Ensure front desk staff is keeping logs of no-shows weekly to ensure / confirm no-show billing.
- Ensure front desk staff is doing day prior appointment reminders
- Ensure staff is adhering to voicemail check requirements.
- Reviews required office operational binders to ensure updates are made and included as needed.
