What are the responsibilities and job description for the Move In Specialist position at Maximus Real Estate Partners LTD?
POSITION PURPOSE
The Move In Specialist is responsible for completing and explaining lease documents, providing administrative functions necessary to ensure residents and prospects have a positive move in experience at the property.
ESSENTIAL DUTIES
· Prepares customer applications, to ensure all background checks, deposits, and lease paperwork are complete in accordance with all legal requirements and company policy
· Uses customer relationship techniques to ensure customer move-in satisfaction
· Interacts with walk-in prospects by showing the property and answering questions about the community, lease terms, and local area
· Notifies the new resident upon approval of the application, prepares resident move-in or renewal paperwork, ensuring all necessary paperwork (leases, addenda, notices, etc.), and confirms applicable deposits are made prior to move-in date
· Prepares new residents file according to company requirements for Compliance Manager’s approval
· Thoroughly complete and enter data into the property database
· Sets up company portal accounts for every prospect upon receiving application and assists [KA1]
· Provides resident keys and property orientation, explaining the community amenities and unit features
· Creates and delivers new resident welcome packets, including move-in gifts
· Confirms that the new resident has assumed financial[KA2] responsibility for all utilities by verifying their transfer to the resident’s name upon move-in
· Explains the “Move-In Inventory” [LP3] [KA4] form used to note any pre-existing damages in the apartment to new residents. Follows up with residents to ensure the form is completed and uploaded. Enters Service Requests as needed
· Communicates and verifies compliance with mandatory renters’ insurance as per company policy (if applicable) before move-in
· Provides superior customer service to internal and external customers
· Maintains the appointment book and schedules all move-in appointments [KA5]
· Answers prospects, residents, and customer inquiries which may include questions about the surrounding area, the property, the company, lease details, amenities, etc.
· Provides exceptional customer service to resident by answering questions, accepting packages, coordinating service requests, etc.
