Responsibilities
Schedule and Dispatch: Coordinate the scheduling of CDL truck drivers to pick up and deliver containers from the port to their respective destinations in a timely and efficient manner.
Route Management: Plan and optimize routes for drivers to ensure timely arrivals and avoid delays, considering traffic, weather conditions, and port schedules.
Maintain Driver Communication: Keep constant communication with drivers to provide updates, resolve issues, and monitor their progress during pickups and deliveries.
Container Tracking: Track and monitor the location and status of containers to ensure accurate and up-to-date information is provided to both the drivers.
Regulatory Compliance: Work with other members of leadership to ensure that all drivers adhere to federal, state, and local regulations, including hours of service (HOS), safety standards, and port-specific requirements.
Port Coordination: Communicate with fellow truck department personnel to arrange container releases and resolve any issues regarding container availability or documentation.
Document Management: Maintain accurate records of all scheduled pickups, deliveries, driver logs, and any discrepancies or issues that arise.
Problem-Solving: Handle unexpected situations such as delays, container damage, or truck breakdowns and work proactively to resolve them quickly.
Customer Service: Provide excellent service to vendors and fellow industry professionals by ensuring timely and safe deliveries, addressing concerns, and managing expectations.
Data Entry & Reporting: Enter and update dispatch data in the company’s transportation management system (TMS) and generate reports on delivery progress, delays, and efficiency. Plan and optimize routes for drivers to ensure timely arrivals and avoid delays, considering traffic, weather conditions, and port schedules.
Requirements:- High school diploma or equivalent required; associate degree or related certifications preferred.
- Previous experience in dispatching, logistics, or transportation coordination, preferably with port container pickup experience.
- Strong knowledge of the transportation industry, particularly in port and intermodal operations.
- Excellent organizational skills with the ability to manage multiple tasks in a fast-paced environment.
- Strong communication skills (both verbal and written) to interact with drivers, coworkers and port personnel effectively.
- Proficiency with dispatch software and Microsoft Office Suite.
- Problem-solving skills and the ability to remain calm under pressure.
- Must be willing to work flexible hours, as department needs may vary throughout different seasons.
Physical Requirements
- Ability to sit for extended periods while coordinating dispatch schedules.
- Ability to work in a fast-paced office environment.
- Occasional need for on-site visits to the port to resolve issues.
