The Conflicts Intake Analyst analyzes incoming new matter requests for completeness and accuracy of supporting information and proper identification of all parties involved, to ensure accurate processing in the Client Clearance & Compliance (C3) System.
Responsibilities
Essential Functions:
- Understands and appropriately applies conflict search rules and business relationship protocols
- Learns and keeps up to date on the functionality and underlying rules of the C3 System
- Communicates with the requesting lawyer/secretary and/or regional business intake staff when needed to obtain complete and accurate request information
- Determines if a conflict search is needed, and if so estimate the scope of the search. Searches scope decisions for certain requests can be made by the Intake Analyst as approved by Conflicts Lawyers
- Works closely with Conflicts Lawyers on search scope questions and makes recommendations for proper handling
- Analyzes party names to determine if there is an alert in the C3 System for that entity that should be sent
- Performs corporate family tree searches to find or verify entities’
- Rates searches to estimate completion time for efficient search assignment and processing
- For urgent requests, determines the business requirement, the appropriate priority level and a workable deadline to meet the needs of the requesting lawyer
- Responds to Research Analyst requests for additional information on searches as needed and for changes in search scope based on corporate family information that is discovered during the search process
- Works closely with the Assignment Coordinator to ensure that urgent requests are handled appropriately
- Handles highly sensitive and confidential search requests
- Maintains client-related information not stored in the C3 System, such as names of relationship partners for waivers or terms of engagement letters and client policies
- Keeps informed and complies with unique practice group requirements and client family representation instructions
- Processes conflict searches when needed
- Performs other duties as assigned or required to meet Firm goals and objectives
Qualifications
Education/Training/Certifications:
- BA degree in a related field. An equivalent combination of education and/or experience may be considered in lieu of the degree when the experience has been directly related to the functions of the job
Professional Experience:
- Minimum of two years of online conflicts research experience, required
- Law Firm experience, required
Technical Skills:
- Proficiency in Microsoft Office products, required
- Online conflicts research experience in a law firm is required. Knowledge of ICM (iManage Conflicts Manager) or an equivalent system, required
- Experience using automated workflow tools, preferred
Performance Traits:
- Strong written and verbal communication skills, able to communicate effectively and in a professional manner with all levels of the Firm and outside vendors
- Ability to work in a diverse team environment and effectively support the demanding needs of the Firm
- Ability to work under pressure, meet deadlines with shifting priorities
- Must be a self-starter with a high level of initiative
- Strong customer service skills, able to anticipate needs
- Strong attention to detail, organizational skills and the ability to handle multiple projects
- Maintains confidentiality and exercises discretion
The typical pay scale for this position is between $80,200 and $106,000, although the actual wage or salary could be lower or higher if the candidate’s education, experience, skills and internal pay alignment are different from those specified.
