Summary
The Administrative Assistant will assist in the organization of administrative activities to provide timely, efficient, internal support to the executive staff and various departments. This position will answer phones and greet visitors.
Essential Duties and Responsibilities
- Answer phones, screen & direct calls, or take messages and check voice mail
- Review and forward incoming faxes to appropriate personnel
- Greet guests and direct to appropriate destination with appropriate safety wear and badges
- Maintain calendars current for conference rooms
- Sort and distribute incoming mail, deliveries, etc.; process all outgoing mail
- Assist various departments with administrative tasks by preparing reports and handling confidential information etc.
- Order and distribute office supplies
- Address and mail employee birthday cards
- Organize and plan business meals as needed
- Arrange travel for management, supervisors, employees, vendors, dealers, guests of Malibu
- Other duties may be assigned.

Education and/or Experience: High school diploma or general education degree (GED) required
Minimum of 2 years office administration experience required
Language Skills: Ability to read and comprehend simple instructions, short correspondence, and memos. Ability to write simple correspondence. Ability to effectively present information in one-on-one and small group situations to customers, clients, and other employees of the organization. Must have excellent communication skills.
Mathematical Skills: Ability to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions, and decimals.
Reasoning Ability: Ability to apply common sense understanding to carry out detailed but uninvolved written or oral instructions. Ability to deal with problems involving a few concrete variables in standardized situations.
