Position Summary:
The New Business Processor is responsible for managing and processing new client onboarding and account setup with the highest levels of accuracy and efficiency. This role ensures smooth client transitions and supports advisors with detailed documentation, CRM updates, and tracking client progress through the deal pipeline.
You will be a key contributor to client satisfaction by handling sensitive financial information, facilitating compliance requirements, and supporting the administrative side of the advisory process.
Key Responsibilities:Client Onboarding:
- Process new client paperwork and ensure all forms, contracts, and applications are completed accurately and submitted within established timelines.
- Communicate with advisors and clients to gather missing information or resolve documentation errors.
- Using CRM systems like HubSpot, track and report client progress during onboarding, ensuring consistent and up-to-date documentation.
Account Management:
- Facilitate the setup of financial accounts, including asset transfers (ACAT, Rollover), new policies, and other onboarding processes.
- Coordinate with financial custodians like Charles Schwab for account setup and fund transfers.
- Maintain accurate and organized client records while ensuring adherence to compliance and confidentiality standards.
Process Improvement:
- Collaborate with the operations team to streamline business processes and improve task automation in CRM systems.
- Monitor workflows, identifying and resolving bottlenecks in the deal pipeline to enhance client experiences.
- Assist in updating standard operating procedures (SOPs) and training guides for internal teams.
Compliance and Quality Control:
- Ensure all client files meet regulatory and company standards, including licensing and documentation of agent appointments.
- Perform quality checks on new business submissions to confirm accuracy and completeness.
- Stay updated on industry and regulatory changes to maintain compliance across all processes.
Qualifications:
- Education: An associate's degree or higher in business, finance, or a related field is preferred.
- Experience: Minimum of 2 years of experience in financial services, account processing, or related administrative roles.
- Technical Skills: Proficiency in CRM software (e.g., HubSpot, Redtail), Google Workspace, and financial platforms like Charles Schwab.
- Soft Skills:
- Exceptional attention to detail and organizational skills.
- Strong communication skills, both written and verbal.
- Ability to handle sensitive information with discretion and professionalism.
- Proven ability to work in a team-oriented and client-centric environment.
