Primary Responsibilities:
- Track Patient Flow:
Responsible for keeping track of each patient's movements within the office to ensure smooth coordination between front desk and clinical staff.
- Patient Check-In & Check-Out:
Greet patients, verify demographics, collect co-pays, and ensure accurate completion of forms.
- Insurance Verification:
Verify eligibility and benefits for vision and medical insurance prior to appointments.
- Phone Management & Triage:
Answer incoming calls, schedule appointments, and route messages appropriately. Triage patient inquiries with clinical sensitivity.
- Contact Lens Orders:
Process contact lens orders and assist patients with reorders or insurance-related questions.
- Referrals to Ophthalmology:
Generate and coordinate referrals to ophthalmologists and track follow-up documentation.
- Administrative Tasks:
Scan and fax documents, maintain accurate patient records, and manage electronic files.
- Digital Communication:
Monitor and respond to patient emails and text messages via HIPAA-compliant platforms.
- Office Supply Management:
Monitor inventory levels and restock office supplies to ensure smooth day-to-day operations.
Secondary Responsibilities:
Entrance Testing Assistance:
Support the clinical team with entrance testing procedures as needed, including:
- Non-Contact Tonometry (NCT)
- Auto-Refraction (AR)
- Optomap Retinal Imaging (Optos)
Optical Support:
- Support the optical team in monitoring patient flow, facilitation of sales and addressing basic administrative needs
- Offer patient frame styling opinions as appropriate
- Prepare trays for eyewear dispensing for optical as needed
Qualifications:
- Minimum 1 year of experience in an ophthalmology or optometry setting (required)
- Familiarity with optometric terminology, common eye care procedures, and basic medical terminology (required)
- Experience with medical office protocols, HIPPA and understanding of both vision and medical insurance plans
- Familiarity with EMR systems, particularly OfficeMate/ExamWriter (preferred)
- Excellent communication and customer service skills
- Proficient with general office software and technology
- Ability to navigate and monitor multiple online platforms simultaneously
- Ability to multitask in a fast-paced environment
