PRIMARY PURPOSE:
The Mathematics Secretary will, in a positive manner, provide office services by implementing administrative procedures and policies, monitoring administrative projects and maintain the Mathematics Curriculum program to enhance student learning.
QUALIFICATIONS:
Education/Certification:
High School Diploma or GED, required
Business/office skills training, preferred
Special Knowledge/Skills:
Utilize personal computer and software; communicate effectively (verbal and written); utilize effective interpersonal skills
Experience:
Two (2) years clerical/secretarial experience, required
Workdays: 221 - Paid Monthly
Clerical/Technical Pay Structure: Pay Grade 2
Hourly Pay Range:
Minimum: $14.00
Midpoint: $16.77
Maximum: $19.54
Note: Starting pay for a new hire in a pay range plan will be determined individually based on each person's job-related experience and salaries paid to peer employees in the same position with similar experience.
MAJOR RESPONSIBILITIES AND DUTIES/ESSENTIAL FUNCTIONS:
1. Perform general office routines such as typing forms, handling correspondence and meeting notices, maintaining files, processing mail and faxes and duplicating materials.
2. Complete extensive word processing and spreadsheet assignments with various computer programs in a timely manner with minimum errors.
3. Receive and route telephone calls and messages.
4. Type curriculum documents and make arrangements for the printing and distribution of these documents.
5. Assist with the preparation of staff development sessions and other meetings by obtaining and setting up meeting locations, workshop numbers, prepare agendas and sign-in sheets, contacting catering services, purchasing and setting up snacks duplicate handouts and sending meeting reminders and completing end-of-session reports.
6. Prepare contracts and all paper work involved with obtaining consultants including travel arrangements, lodging and supplies for workshops.
7. Assist with the development, preparation and maintenance of budget(s).
8. Prepare purchase requisitions for supplies and equipment for general operations, workshops and teacher resources and submit paper work to the bookkeeper.
9. Compare workshop sign-in sheets against generated report provided by Payroll Department for verification of attendance by teachers and correct substitute code used for various workshops.
10. Make preparations for principals, coordinators, facilitators and teachers for out-of-district conferences, workshops and staff development sessions by arranging for travel, lodging, meals and registration.
11. Assist principals, facilitators and teachers with a variety of needs such as copies of Texas Essential Knowledge and Skills, curriculum documents, catalogues, session sign-in, and information regarding in-services and reimbursement of funds while implementing the McAllen ISD Customer Service Model.
12. Assist with other instructional services department projects as needed.
13. Obtain a student head count from each campus for the purpose of making copies, organize and package the documents and occasionally deliver Math Instructional resources.
14. Follow McAllen ISD customer service standards.
15. Perform other duties assigned by immediate supervisor(s).
