JOB Summary
The Tenant Coordinator is responsible for centrally managing the onboarding process for all new tenants following lease execution through move-in and rent commencement. Acting as the operational point person, this role maintains a detailed, real-time tracker of all tenants in the build-out or move-in phase and monitors progress against key milestones. The Tenant Coordinator ensures visibility across the portfolio and flags issues early so that Property Managers, Asset Managers, Leasing representatives, and Construction teams can take timely action to keep tenants on schedule.
The Tenant Coordinator must be organized, proactive, and comfortable managing deadlines across multiple stakeholders, using discretion and independent judgment to drive accountability and ensure that each tenant progresses to rent commencement on schedule.

Tenant Onboarding Leadership & Timeline Management
- Own and manage the full lifecycle of the tenant onboarding process, from lease execution through rent commencement, ensuring alignment with internal timelines and business objectives.
- Maintain a real-time, portfolio-wide tracking system to monitor all tenants in the build-out and move-in pipeline, serving as the central source for progress updates and status visibility.
- Drive milestone execution by tracking key deliverables such as design approvals, permitting, construction kickoff, utilities setup, inspections, and move-in readiness.
- Ensure that all occupancy prerequisites (e.g., insurance certificates, signage approvals, utility setups) are proactively tracked and completed in advance of required deadlines.
- Anticipate potential delays or gaps, escalate issues as needed, and lead coordination efforts across departments to keep onboarding timelines on track.
Cross-Functional Coordination
- Serve as the central liaison among Leasing, Lease Administration, Property Management, and Construction in management of the tenant onboarding lifecycle.
- Oversee and facilitate progress meetings with internal stakeholders to review onboarding progress and resolve open items.
- Alert appropriate team members of upcoming critical dates and required actions.
- Ensure that all departments have the information they need to fulfill lease obligations and deliver space as agreed.
Communication & Documentation
- Provide regular internal updates and maintain detailed notes on each tenant’s progress toward occupancy and rent commencement.
- Maintain and manage SharePoint folders or other internal systems to ensure the records contain the latest documentation for each onboarding tenant.
- Draft and send internal milestone alerts and follow up as needed to keep the onboarding process on schedule.
- Support property teams with preparing and coordinating delivery of tenant welcome packages or move-in readiness checklists, if applicable.
Process & Systems Management
- Continuously refine and improve the onboarding tracking process to ensure consistency, clarity, and usability across the division.
- Work with Lease Administration to verify critical dates and lease obligations.
- Manage internal reporting on onboarding timelines, trends, and issues that may require escalation or process improvement.
Qualifications & Skills
- Education: Bachelor degree with related business focus preferred but not required
- Experience: Minimum 3 years in commercial real estate, property management, lease administration, or a related administrative coordination role.
- Organization: Highly detail-oriented with excellent follow-through and documentation oriented.
- Technology: Proficiency with Microsoft365 business suite including PowerPoint, advanced proficiency with Excel; SharePoint; property management software experience such as MRI or other project tracking tools.
- Communication: Professional and effective verbal and written communication skills; comfortable liaising across multiple departments.
- Problem Solving Skills: Proactive, solution-oriented mindset; able to escalate issues thoughtfully and in a timely manner.
- Multitasking: Ability to manage multiple tenants and deadlines simultaneously without losing accuracy or momentum.
Work Environment & Physical Requirements
- Primarily office-based, open workspace; moderate noise level.
- Occasional exposure to properties under construction, able to tolerate moderate construction dust, all types of weather and uneven terrain.
- Extended periods of sitting and computer/keyboard use; reading documents; phone and other electronic equipment. occasional light lifting (<20 lbs.); standing, walking, climbing.
- Ability to independently travel from worksite to tenant sites.
- Ability to effectively communicate verbally and in writing.
