McCall-Thomas Engineering Company, Inc. is seeking a part-time Executive Assistant.
Schedule: Mondays and Wednesdays 8-5, at a minimum
Location: Orangeburg office
The Executive Administrative Assistant will provide administrative support to the President.
Reporting directly to the President, this position plays a pivotal role in advancing the mission of McCall-Thomas Engineering by fostering meaningful connections with internal and external stakeholders. This dynamic position requires the ability to anticipate needs, think critically, and offer solutions to problems with professionalism and confidentiality. The Executive Assistant must have the ability to work independently on tasks and projects from conception to completion and thrive in a multi-faceted role which requires the ability to oversee a wide variety of activities and confidential matters with complete discretion. This role requires close collaboration with the VP and Division Directors, as well as serving as a liaison to the Board of Directors.
Responsibilities:
- Assist the Marketing Coordinator with arrangements for special events, employee appreciation, Christmas luncheon, receptions, luncheons, etc. with invitations, food service and reserving meeting spaces
- Scheduling meetings (Outlook), registering attendance at conferences and meetings, and booking travel and accommodations.
- Submitting invoices/receipts for payment on behalf of the President
- Drafting, editing and filing documents such as the annual shareholders report
- Collecting and preparing information for meetings with staff and outside parties; composing and preparing correspondence; maintaining contact lists
- Functions as a liaison and provides support to the Board of Directors. Arranges and oversees all logistics for Board meetings and events: schedules meetings; drafts agendas; develops, compiles, and distributes presentation materials as needed to assist the Board Secretary
- Conserves the President's time by reading, researching, collecting, and analyzing information as needed
- Represents McCall-Thomas Engineering in a professional manner at all times
What qualifications you will need:
- Associates Degree in Business or Communications preferred.
- Previous Administrative experience required. (This is not an entry level administrative position.)
- Multitasking with the ability to communicate professionally in both oral and written form
- Proficient in MS Word, Excel, Outlook, and Power Point along with excellent interpersonal and organizational skills
- Team player exhibits a team-oriented experience and collaborative approach.
- High degree of professionalism in dealing with diverse groups of people, including Board members, senior management, staff, community leaders, and other external partners.
- Ability to complete a high volume of tasks and projects with little or no guidance.
- Ability to maintain a high level of integrity and discretion in handling confidential information.
- Provides hospitality to all guests and help to create a welcoming environment; provide event management support as requested.
