Structural Executive Liaison (Administrative Support)
Responsibilities:
55% - Support and Deliverables for Vice President/Structural Leadership
- Administrative support for Vice President and key Structural Leaders. Including but not limited to the following: reporting analytics and analysis, travel coordination, calendar support, email management, timesheet, and expense management, drafting and creating requested documents, communications, ad hoc reports, and presentations.
- Attend requested meetings - track deliverables and to-do assignments.
- Facilitating group and team meetings as directed by Vice President and Team Leaders.
- Support Team Member special recognition in partnership with VP and HR.
- Serve as a pulse for team culture needs.
- Ownership of various projects as determined by VP.
- Examples may include: customer success standards project, online project intake questionnaire, project proposal improvements, invoicing improvements, project financial reporting.
- Travel as needed with VP and Structural Leaders
35% - Client Relationship & Project Success Support
- Organizes requested client meetings for projects.
- Monitors the progress of client lifespan for the Structural Team from initial project request to project closeout.
- Supports project documentation (feedback from clients, NPS surveys).
- Assisting Project Managers in financial budgeting, scheduling, and resource planning for new projects.
- Preparing project, project manager, and team performance reports.
- Project (opportunity, P numbers, and regular) and folder set up.
- Assist Project Mangers with change requests.
- Assists in communications for project proposals, contracts, and related needs.
- Monitors knowledge base of clients and evaluates future quoting considerations.
10% - Other Duties as Assigned
Knowledge, Skills, and Abilities:
- Ability to be regarded as a trusted and respected team member throughout McClure.
- Strong financial acumen.
- Ability to serve as an authority for questions/issues that arise from cross discipline group.
- Strong communication skills – both oral and written.
- Strong proficiency in Microsoft Office Suite
- Professional and positive personal presence while putting team first.
Education & Experience:
- 3-5 years of related experience in a high accountability, visible support position.
- Associate or bachelor’s degree highly preferred.
