Role Overview
The Studio Coordinator oversees the provision of administrative, financial and operational support services for the studio. The role facilitates the delivery of business operations to agreed standards. This role plays a crucial part in managing all aspects of the studio’s resourcing, finance, and overall general administration, while supporting the company’s vision.
Overall, the Studio Coordinator is responsible for creating a thriving and creative work environment, ensuring the organisation of the studio which allows the design team to thrive deliver high-quality design solutions, and maintaining client satisfaction while overseeing the operational aspects and studio culture.
Key Responsibilities
Your key responsibilities will include :
- Welcoming guests on arrival and delivering them to the respective area / person.
- Answering and directing calls / taking messages as necessary.
- Monitoring group inboxes and overseeing ordering of studio equipment and supplies.
- Managing studio schedules, appointments, and bookings to optimise productivity.
- Coordinating different departments to support and enhance studio efficiency.
- Ensuring the studio environment remains organised and conducive to creativity.
- Submitting timesheets to payroll for processing.
- Collaborating with the marketing team for branding purposes.
- Ensuring designers' project workload is managed effectively.
- Allocating resourcing and scheduling weekly briefing meetings with the team.
- Providing updates at all stages of projects referencing deliverable hours spent, profitability, and project status updates to Directors and Associate Designers for new and existing projects.
- Creating and managing fee proposals, ensuring they align with the industry market and allow for profitability.
- Tracking project hours through the relevant systems.
- Assisting in end of month invoicing.
- Assisting in following up on unpaid invoices.
- Completing end of month reporting.
- Producing invoicing forecasts to track performance against financial targets.
- Tracking project budgets.
