Description
Scope and Purpose: Responsible for the operation and performance of assigned Satellite property groups, under the supervision of the Director of Satellite Residential (DSR). This will include, but not be limited to the staffing, administration, and maintenance of the properties to maintain the asset value, produce the desired curb appeal, and budget performance. The Regional Property Supervisor is a leadership representative of the Company, therefore his/her conduct and appearance should be professional at all times. The Regional Property Supervisor will strive to have all staff members conduct themselves in a professional manner with character and integrity.
Reports to: Property Supervisor and/or Management
FLSA: Exempt
Essential Tasks: (Employee must be able to perform the following functions to the satisfaction of the employee’s supervisor)
Staff Development
- Ensure staffing meets the size and demand of each property’s needs for the assigned group.
- Provide guidance, support and accountability for each Property Manager while fostering an atmosphere that aligns with Company Mission and Values.
- Provide initial and ongoing training for Satellite Property Managers.
- Conduct weekly scheduled manager meetings with assigned property managers.
- Participate in Satellite Division’s monthly property managers team meetings.
- Conduct weekly meetings with DSR to discuss activity and needs of assigned properties.
- Conduct an annual evaluation for each Manager of assigned properties and assist Managers with annual evaluations for their staff.
Physical Asset Management
- Visit each property on a regularly scheduled basis.
- Ensure each property receives necessary supervision to maintain asset.
- Conduct quarterly onsite property inspections.
- Conduct bid review on large projects.
- Monitor onsite construction projects.
Administration
- Ensure the leasing success of each property in the assigned property group.
- Ensure leasing paperwork meets current legal requirements. Evaluate annually in coordination with Satellite/Company MDI lease review and with DSR.
- Oversee and coordinate turnover process and deposit accounting process in timely and accurate manner with company policies and procedures.
- Approve timecards and work orders for assigned on-site property employees, monitoring overtime hours.
- Review and approve property invoices and expenses for assigned properties.
- Ensure annual file audit corrections and resident satisfaction survey results are followed-up on and performed for each assigned property.
- Ensure each property has documentation of tool/equipment purchases and ensure tracking of each item.
- Perform annual bad debt write-offs with DSR.
- Approve annual rent rates for each assigned property and present to DSR.
- Be knowledgeable of local rental housing markets for assigned property groups.
Financial
- Review monthly property financial statements for assigned properties. Discuss variances with managers for assigned property group and/or DSR as needed.
- Conduct quarterly property financial review to discuss variances with managers and DSR.
- Ensure annual property budgets are completed with the assistance of Site Managers.
- Monitor delinquencies monthly. Ensure accounts are forwarded to DSR for attorney and collections as needed according to policy and procedures.
Reporting
- Review weekly leasing reports with DSR and managers as needed.
- Review monthly delinquency reports with DSR and managers.
- Review monthly property inspection reports for deficiencies.
- Report property projects as needed and property inspections quarterly.
Other
- Travel to Satellite property locations to carry out responsibilities with some overnight stays required.
- Appearance should be representative of a professional, neat, clean, and business-like at all times.
- Attend and participate in department meetings, company training, and communicate progress and challenges.
- Have reliable transportation and a valid driver’s license.
- Abide safety standards that comply with all company, local, City, State, and Federal guidelines.
- Follow established company policies and those outlined in the Employee Handbook.
- The tasks are not limited by this list and shall include all items requested by the Supervisor and/or Management to assist in the success of the properties.
Education, Experience, And Licenses/Certifications: (A comparable amount of training, education or experience may be substituted for the minimum qualifications). Completion of high school/GED. Five years property management experience with at least two years of multi-site property supervising. Previous experience in Entrata preferred.
Knowledge, Skills, And Abilities:
Computer experience in word processing, spreadsheet, and menu driven integrated accounting software. Knowledge of accounting and financial matters with ability to read and understand financial statements. Mechanical/Maintenance knowledge preferred. Experience with basic marketing techniques. Ability to perform work independently, prioritize assignments, delegate projects, meet timelines and follow-through. Efficient time management and organizational skills with ability to handle multiple tasks and interruptions in a fast-paced environment. Ability to make cost and time effective decisions, exchange ideas/information, and arrive at decisions, conclusions, or solutions. Strong attention to detail with accuracy in completing reports, paperwork, etc. Accuracy in reporting is essential. Ability to abide by Fair Housing Laws, MDI policies and procedures, and adapt to industry changes. Possess a pleasant, friendly, customer-service oriented personality with ability to work with, understand, and respond to residents, employees, and persons of all ethnic and family backgrounds. Demonstrate ethical conduct and professionalism. Knowledge of department policies, procedures, and practices with the ability to answer work related questions; and/or interpret and apply these guidelines correctly in various situations. Ability to supervise and train employees. Ability to plan, organize and implement assigned responsibilities and to work well under pressure to meet deadlines. Knowledge of MDI emergency procedures.

Ability to interact and communicate effectively in a tactful and courteous manner with a variety of people, including residents, visitors, contractors, employees, and the general public. Ability to use independent judgment and discretion.

Primary functions require sufficient physical ability and mobility to work in an office setting, to stand or sit for prolonged periods of time and to occasionally bend, kneel, and lift and/or move up to 20 pounds. Operate office equipment that may require repetitive hand movement. Must be able to navigate a variety of properties with stairs.

Work is performed primarily in a standard office setting with frequent interruptions and distractions.
Extended periods of time viewing computer monitor. Occasionally exposed to unpleasant smells and working conditions caused by resident neglect, food spoilage and sewage problems.
