Secretary and Bookkeeper
Job Description:
The church secretary shall assist the Pastor, other staff, and committee chairpersons in administration, clerical obligations, and daily operations of the church. The secretary will report to and be supervised by the pastor, and through him, the Pastor Parish Relations Committee. This is a key position that upholds our mission statement and continues to the continued growth of McCutchanville Community Church.
Qualifications: Secretary
We are seeking a Christian individual who is active in their faith and committed to its growth and the development of God-given talents. This person should have 1-3 years of experience of clerical duties and be familiar with basic office equipment including computer and fax/copier experience.
Also, must have experience with Microsoft Office 365 programs: Word, Excel, Publisher and Outlook.
Specifics:
· Answer the phone and check voice mail daily. Relay messages to the proper people. Familiarize yourself with the operations of the phone system.
· Make sure the office has coverage during regular office hours.
· Works closely with pastor; set aside time as needed to discuss daily or weekly goals and duties.
· Retrieves mail from the box daily and distributes to appropriate people and God’s Kids. Opens church mail only.
· Check emails throughout the workday and then responds or directs them appropriately.
· Compiles and creates the Sunday bulletins; sends to Pastor for approval.
· Compiles and creates other notices, newsletters or flyers as needed with Pastor’s approval.
· Update website as requested.
· Follows church building rental policies and procedures to schedule events at the church; checks with Pastor, adds to calendar and logs them in a notebook kept in the office.
· Assists the Pastor & committees with preparation of necessary reports and minutes.
· Maintain an appropriate inventory of office supplies.
· Maintains an adequate filing system of paper and electronic records for the church
· Updates information on those who attend church in Outlook, printed and Church Social online directory as needed.
· Attend meetings as requested by Pastor.
· Maybe tasked to participate in other activities as requested by Pastor or the Pastor Parish Relations Committee
Qualifications: Bookkeeper
· Must possess a working knowledge of QuickBooks Online, QBO.
· Review QBO daily to identify updates.
· Anticipate monthly bills and deposits to play financial month.
· Reviews payroll of church staff and also sends corresponding payroll reports to God’s Kids for the Director to review GK’s payroll. Payroll is every two weeks.
· Create and prepare monthly reports in both QBO and Excel.
· Must have the ability to maintain and work within the budget as determined by the Finance Committee and approved by the Church Council.
· Identify ongoing financial trends of the church.
· Work with a third party to answer questions and learn specifics of QBO as currently used. Currently the Church uses Kemper CPA.
Hours and Pay
Will be determined by Pastor Parish Relations Committee and the Pastor. Pay is determined by experience.
Vacation Policy:
One-week paid vacation after six months of employment; and determined by average hours worked per week.
Probation Period:
Three months from the first day on the job.
