Responsibilities
PARTS ASSISTANT MANAGER
The Parts Assistant Manager is responsible for helping to implement and enforce workflow procedures based on direction from the Parts Manager. Their duties include assisting to supervise and train employees during day-to-day tasks, providing part associate support, helping with escalated situations and assisting with Parts Manager coverage when the PM is not available.

Parts Associate (Expected Support) :
Be friendly, professional, and efficient providing a high level of service when working with all customers and other personnelSell parts to all available customers, over the counter, through the shop, online and / or on the phoneAnswer phone calls, providing price quotes and other information. Assist outside sales representatives with their orders
Collecting payment and closing / acknowledging invoices (ALL invoices should be signed by customer at time of purchase, pick up, or return)Look up, quote / bill parts to shop associatesSet up orders for daily shipment, delivery, or pick upAssist service technicians in selecting parts needed for repairs in processBill, pull, and stage purchases from stock, if the part is not in stock, determine availability and submit an order as needed. (All retail orders are to be prepaid)Verify order ETA and order by needed / requested status (VOR will incur freight charge)
Stamp / sign off on Repair Order indicating who, what, and whenPurge old orders after 21 days. Return parts to stock or to manufacturerMonitor open invoices to ensure parts orders are being filled, and parts are being picked up by customerNotify the Service Advisor(s) or customer(s) that ordered parts have been received on a daily basisIssue credit(s) for parts returned against original invoice, or its number so as to verify purchase and pricing (Exceptions must be approved by the Parts Manager)Help to keep all parts areas clean and uncluttered dailyBy end of day assign Special order parts to that day’s SOP binBy end of day check staging BINs for any parts connected to closed Repair Orders to be put awayReplenish assigned inventory daily. Advise Parts Manager when areas of the department are not in satisfactory conditionKeep current on DMS training, manufacturer training, safety training, new products, and product updatesMust follow all company safety policies and procedures, and immediately report any and all accidents to a manager or supervisorReport for work on time & be ready to work at the designated start time, clock in and out for breaks, clock out upon completion of your workday. Communicate as soon as possible any disruptions to scheduleParts Assistant Manager (Additional duties) :
Process daily orders and submit to factoryCoordinate with Parts manager to :Review / submit warranty parts return
Review / scrap warranty partsPrep / ship core returnsReview / process D2D ordersReview / process factory returnResolutions to escalated problemsTrain / Enforce day-to-day processesCover Parts Manager duties when Parts Manager is not available (For items that have been trained)Paperwork, accounting, payroll, administration, daily deposit, etc
Coordinate with other managers for day-to-day activitiesWhen acting in place of / for the PM the subordinate staff is to follow decisions made by the Assistant the same as if made by the PM. Decisions made against standard operating procedures will be reviewed by the PM and discussed for future best practices)
Qualifications
