Job Title:                  Secretary                                        

Wage/Hour Status: Nonexempt / 37.5 hours /Pay Grade 4 /226 Days

Reports to:               Campus Principal     

Location:                  McDowell MS

Primary Purpose:

Under minimal supervision, organize and conduct the routine work activities to ensure efficient operations for multiple departments. Provide clerical services in an accurate, professional and timely manner.

 

Qualifications:

Education/Certification:

High school diploma or GED

Some college preferred

 

Special Knowledge/Skills:

Proficient word processing and file maintenance skills

Effective organizational, communication, and interpersonal skills

Ability to use personal computer and software to develop spreadsheets, databases, and do word processing

Knowledge of basic bookkeeping principles

Ability to prioritize workflow to address the multiple needs of the supervisor or department

 

Experience:

Secretarial experience, preferably in public education environment, is required

 

Major Responsibilities and Duties:

Records, Reports, and Correspondence

  1. Prepare correspondence, memorandums, forms, requisitions, and reports for the directors using personal computer. 

  2. Receive and process work orders.

  3. Compile, maintain, and file all reports, records, and other documents as required including, but not limited to bus incident reports, trip forms, student records, preventive maintenance data and work orders.

  4. Set up and maintain secure files on all department employees in accordance with state, federal, and district requirements. Coordinate file maintenance schedules with central office.
  5. Prepare invoices, reports, memos, letters, financial statements and other documents, using word processing, spreadsheet, database, and/or presentation software.

 

Reception and Phones

  1. Answer incoming calls, take messages, and route them to appropriate staff. Handle questions and requests that fall within level of responsibility.

Accounting and Inventory

  1. Perform routine bookkeeping tasks including to maintain campus / department budget records.
  2. Prepare and process purchase orders.
  3. Order, receive, store, and issue supplies and equipment.
  4. Compile and report time records, including leave requests and reports. Prepare payroll data on department employees.
  5. Maintain inventory of fixed assets, equipment, and supplies.

Other

  1. Sort, distribute, or deliver mail and other documents.
  2. Keeps equipment operational by following manufacturer instructions and established procedures.
  3. Maintain confidentiality.
  4. Welcome all visitors and handle their requests or refer them to appropriate personnel. Maintain effective rapport with general public and handle any problems or concerns in a prompt and courteous manner.
  5. Other duties as assigned.

Maintain emotional control under stress; work with frequent interruptions. Repetitive hand motions; prolonged use of computer. Frequent sitting at desk on computer.  Some standing, stooping, bending, kneeling, pushing, and pulling.
