This position is responsible for handling all incoming calls related to service, confirming online appointments, reaching out to customers for retention, and managing rental vehicle reservations. Key Responsibilities – Service BDC Representative:
- Answer Incoming Calls: Promptly answer all incoming service-related calls, ensuring that each customer’s needs are addressed in a professional and timely manner.
- Service Connect Calls: Manage and follow up on service connect calls to ensure customer satisfaction and resolution of service-related inquiries.
- Appointment Confirmation: Confirm all online appointments for the following day, ensuring proper scheduling and customer preparation for their visits.
- Missed Appointment Follow-up: Call customers who missed appointments the day prior to reschedule and assist with any questions or concerns they may have.
- Parts Availability Outreach: Contact customers whose ordered parts have arrived (based on the Parts Sheet) and notify them to schedule the necessary service.
- Outbound / Retention Calls: Make a minimum of 100 outbound calls per day for customer retention purposes, promoting service specials, vehicle maintenance reminders, and building long-term relationships.
- Rental Reservations: Take rental vehicle reservations for customers as needed and ensure all necessary details are accurately captured.
- Rental Vehicle: Assist in putting customers into rental vehicles, ensuring the rental process is seamless and efficient.
- Rental Key Tracking: Keep track of rental vehicle keys, ensuring they are properly labeled and stored securely.
Qualifications - Service BDC Representative:
- Previous customer service or call center experience, preferably in the automotive industry.
- Excellent communication skills, both verbal and written.
- Strong organizational skills with the ability to manage multiple tasks and prioritize effectively.
- Proficient in using computer systems, scheduling software, and phone systems.
- Ability to work independently as well as part of a team.
- A positive, professional, and customer-first attitude.
- Ability to meet daily outbound call targets and maintain performance standards.
- High attention to detail, especially when handling customer information and vehicle rentals.
Preferred Skills:
- Previous experience in an automotive service department or BDC role.
- Familiarity with rental vehicle processes and key management.
- Bilingual (Spanish/English) a plus.
