Position: Administrative Specialist
Reports to: Executive Director at the McGlynn Center
Hours: Full-time
The McGlynn Center, a year-round program, provides educational, recreational and social outreach services to children and teens living in Boulevard Townhomes and Mineral Springs Village, Wilkes-Barre. Providing a safe environment during high-risk hours, the Center challenges students academically and socially with a goal towards a productive future.
Job Summary:
The McGlynn Center’s Administrative Specialist position is a multi-faceted position and is ideal for a candidate interested in nonprofit management.
The Administrative Specialist’s primary duties include providing administrative and strategic support to the Executive Director to include database entry, coordination of meetings, managing calendars, coordinating mailings, helping with fundraising events, creating reports, etc. Secondary duties are comprised of working directly with children and youth who participate in the McGlynn Center program at all locations providing academic and social development support.
Responsibilities and Tasks:
Provide administrative and strategic support to the Executive Director:
- Supports the executive director with day-to-day office duties such as answering telephone calls, printing copies, sending/receiving documents, scanning, and helping with special projects.
- Responsible for the management of the donor database, gift entry and data clean up
- Assist with timely gift acknowledgment
- Assist with creating and/or updating all policies and procedures for the organization
- Attend regular staff meetings, training and workshops as required
- Assist with planning and organizing of fundraising events, special events, field trips, etc.
- Coordinate monthly meetings for our board and fundraising committees
- Assist with all mailings promoting the programs and/or events
- Assist with all record keeping and documentation related for grant management
- Assist with updating website and/or social media
- Perform other duties as assigned
Support the After-school, Summer, Life Skills, Teen and Diversity Programs:
- Work with and support the children in our After-School Program with their homework and reading every afternoon
- Work with and support the children in our all-day Summer Program
- Assist with our Life Skills, Teen and Diversity Programs as needed
- Use positive behavior management techniques and appropriate consequences/behavior modifications to children as needed
- Communicate with children, volunteers and staff in a positive and supportive manner
- Promote safety in the supervision of the children, teens and volunteers
- Maintain confidentiality of all information and documentation

Qualifications:
- Bachelor’s degree or equivalent experience
- Experience working with school-age children, preferably in a group setting (e.g., classroom, camp counselor, volunteer at after-school program)
- Must meet federal and state requirements for working with children (Criminal, Child Abuse and FBI fingerprinting checks)
