The McHenry County Emergency Management Agency seeks a full time Administrative Specialist to join their team.
JOB SUMMARY:
The Administrative Specialist III is responsible for providing administrative assistance to the Director and the Chief Deputy Director of Emergency Management along with providing assistance to the volunteers of Emergency Management.
Location: 2200 N Seminary Ave Woodstock IL
Work schedule: Monday - Friday
Work hours: 8am - 4:30pm
ESSENTIAL JOB FUNCTIONS:
- Serves as an executive assistant to the Director and Chief Deputy Director of Emergency Management. Also provide a variety of clerical and administrative support functions for the department.
- Maintains the volunteer files, records and requests. Updates volunteer forms, member’s lists and contact information, records volunteer hours worked, annual requirements, fulfills requests for participation applications.
- Handles grant applications and quarterly reports. Complete and submit all grant applications, gather and record documentation to submit quarterly reports, process requests from the State along with payments received.
- Interact with staff, elected officials and the general public in person or by telephone in order to respond to inquiries. Receives complaints and resolves problems while maintaining a high level of confidentiality and strong public relations and professionalism.
- Order supplies and equipment and process payments. Creates and submits requisitions for quotes, recording of transactions, process payments for all invoices and reimbursements.
- Take minutes for meetings, secure meeting space-FOIA officer.
- Maintains office file system and annual review.
- Performs other related duties as assigned.
MINIMUM QUALIFICATIONS REQUIRED:
Education and Experience:
- High School Diploma
- 3 Years of Secretarial experience
