We are looking for a highly organized and motivated Office Administrator / Dispatcher to join our team and help keep our operations running smoothly.

Job Summary

As the Office Administrator / Dispatcher, you will be the backbone of our operations, ensuring seamless communication between customers, field technicians, and office staff. This role involves a mix of administrative, customer service, and coordination tasks, making it ideal for someone who thrives in a dynamic environment and enjoys multitasking.

Key Responsibilities :

  • Customer Service :  Answer and manage incoming calls and emails from customers with professionalism and a friendly demeanor.
  • Scheduling and Dispatching :  Schedule and dispatch technicians for service calls, installations, and maintenance jobs. Ensure optimal routing and timely responses to customer needs.
  • Permitting :  Handle the permitting process, including applications, follow-ups, and maintaining compliance with local regulations.
  • Invoicing and Billing :  Prepare, send, and follow up on invoices. Process payments and address customer billing inquiries.
  • Administrative Duties :  Organize and maintain office files, records, and documents. Assist with data entry and tracking job progress.
  • Coordination :  Act as the liaison between field technicians, customers, and office staff to ensure clear communication and timely issue resolution.
  • Inventory Management :  Assist with tracking office and field supplies, and place orders as needed.

Qualifications

  • Prior experience in office administration, dispatching, or a similar role (experience in the construction or electrical industry is a plus).
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and familiarity with scheduling or dispatching software.
  • Strong organizational skills and attention to detail.
  • Excellent verbal and written communication skills.
  • Ability to multitask and prioritize in a fast-paced environment.
  • Knowledge of permitting processes and local regulations is a plus.
  • Positive attitude, reliability, and the ability to work collaboratively with a team.
