Job Overview
We are seeking a detail-oriented and proactive Administrative Assistant to support our client with various administrative tasks. The ideal candidate will possess strong organizational skills, excellent customer service abilities, and a proficiency in MS Office. Superior knowledge of Excel and Outlook is critical. This role is essential for ensuring smooth office operations and providing exceptional support to both staff and clients. This is a temporary position with the possibility of temp to hire. The hours are 8am-4:30pm.
Responsibilities
- Complex administrative support including calendar management, meeting preparation of materials, coordination of follow ups and action items, and management of reoccurring meetings.
- Coordinate processes and procedures to chairs, faculty, and other members within the community.
- Assist the Administrative Services Manager with the tracking and oversight of budget line items.
- Planning and executing events.
- Sole collector as well as creator and distributor of materials and information for the newsletter and reporting of data analytics of that publication.
- Assisting in development and planning of adjunct orientation as well as the sole administrative support for adjunct faculty.
- Prepare reports on academic programs, course enrollments, and trends as well as extensive data gathering projects.
- Coordinate with a variety of departments on special programs as needed.
- Sole contact for the campus-wide office supply ordering and management.
- Provide administrative support in logistics, planning, and historical archiving on program advisory boards with the college.
- Main office greeter and first point of contact for the office for phone, questions, visitors, concerns, and issues. This includes providing suite “gatekeeping” services for those within.
- Oversight of the office conference room, supply closet, reception area; ordering necessary supplies and office equipment as needed.
- Assist with onboarding materials, ordering equipment or supplies, coordinating building tours for new hires, and aid in logistical planning for new hire onboarding and orientation.
- Back-up support for events on campus.
- General administrative support and back-up support to the Academic Services Manager and the Office of the Dean.
- Other duties as assigned.
