The Event Program Manager is a member of the McKesson Medical-Surgical Strategy, Marketing & Data & Advanced Analytics Division in Richmond, Virginia. The position is housed on the Communication & Events Team and reports directly to the Director of Events.
The Event Program Manager will support Medical-Surgical's high-profile employee facing conferences and events and customer facing conferences and trade shows. While event planning and management experience is required, the Event Program Manager will be primarily responsible for the project management and implementation of robust program plans and the development and execution tradeshow logistics plans that deliver on the McKesson Medical-Surgical event strategy.
The ideal candidate will have demonstrated successes in complex program development, tradeshow logistics, and intensive stakeholder and executive engagement. Additionally, this position requires a passion for data analysis and the use of data to drive our business and strategic decision making. The Event Program Manager will work in tandem with members of the McKesson Corporate Events & Group Travel Team, which is responsible for the logistical execution travel and accommodations, venue management, food & beverage, registration, etc.) of major Medical-Surgical conferences, events, and incentive trips. Additionally, the manager will work closely with the Marketing, Insights and Brand team's Tradeshow & Industry Events Marketing Manager on the strategy, planning, and management of national tradeshows.
RESPONSIBILITIES:
- Program Planning:
- Contribute to the development of program plans, implementation schedules, and program execution for National Sales Conference, Annual Leader Meeting, All Employee Meetings, Leader Webcasts, and Employee Recognition Programs that align with overall strategic plans
- Track, monitor, report, and present on program and event objectives to workstream stakeholders
- Contribute data driven recommendations that strengthen the strategic plan for each event
- Execute project management of awards-based programs and nomination processes that fall within major Medical-Surgical events
- Assesses project issues and develops resolutions to meet productivity, quality, and satisfaction goals
- Award Program Management:
- Contribute to the development of annual employee recognition awards program plan alongside Senior Event Program Manager
- Execute program plan and coordinate closely with Corporate Communications team to contact awardees and manage awardees information in preparation for key events
- Assist with run of show development and rehearsals for awards receptions and dinners
- Lead fulfillment of physical awards and serve as a resource to Corporate Communications team for winner communications
- Tradeshow Management:
- Serve as lead project manager for national tradeshows attended or hosted by McKesson Medical-Surgical
- Serve as main point of contact for exhibit management company and lead the ordering, procurement, and management of exhibit booths and related inventory
- Lead vendor management for I&D, carpet, electrical and show services, staffing, etc.
- Manage and reconcile tradeshow budgets, exhibit payment, registration fees, and lead capture fees
- Work alongside Marketing Operations and the Tradeshow & Industry Manager to host planning kick-off calls, pre-show logistics meetings, and post-show debrief meetings
- Communicate logistics (flights, hotels, registration, and staffing information) to internal sales teams and stakeholders
- Assist in analyzing and reporting survey data and make recommendations on future tradeshow engagement
- Event and Meeting Material Prep:
- Develop and manage agendas and visual resources for tradeshow and awards workstreams
- Capture meeting notes and distribute timely updates to stakeholders and internal planning partners
- Participate in QA/QC processes for graphics, visuals, presentations, and signage
- Event Data Analysis:
- Assist in the analysis and reporting of post-event survey data, insights, and recommendations
- Ensure the protection and archiving of confidential event and employee recognition data
QUALIFICATIONS:
- Minimum Requirements:
- Degree or equivalent andtypically requires 4 years ofrelevant experience in high-profile event design, programming, and management or high-level project management
- Degree in event management, hospitality, business, or marketing preferred
- Displays leadership in hospitality, exemplifies excellent customer service, and creates a positive atmosphere for stakeholder, employee, and customer relations
- Proven success in managing major conventions and events
- Strong communication skills - interpersonal, written, verbal, and visual
- Proficient use of Microsoft excel and other data management tools
- Experience managing multiple complex projects using cloud-based team management systems
- Comfortable leveraging new technology
- Additional Preferred Qualifications:
- Certified Meeting Professional (CMP) or Program Management Professional (PMP) designation or additional industry certifications (CSEP, CEM, CMM, CTSM, etc.)
- Project Management training (ex. Six Sigma)
- Healthcare experience
- Knowledge/experience serving field sales teams, understanding of sales processes and tools
- Physical Requirements:
- Traditional office environment
- Large percent of time performing desk-based work (computer, telephone) is required
- Travel less than 40% (Domestic tradeshows, domestic annual internal events, and annual event site visits)
- Ability to work nights and weekends to support and execute event programs
