Definition: This position is located in the County Clerk’s Office / Bureau of Elections, Responsible for election activities in compliance with the New Mexico Election Code. The work of this position requires the incumbent to exercise a high level of confidentiality.
Essential Job Functions:
- Enters and Verifies new voter registrations into county/state voter file; cancels registrations upon notice from other counties, state, courts, and vital statistics; recruits precinct officials to fill vacancies at precincts for Election Day; and reviews forms for accuracy and correspondence with voters. Other duties may be assigned during election cycle. May be assigned as voting machine technician during certain periods in election cycle.
- This incumbent is responsible for the timely and accurate entry and deletion of voter registrations into the county register of voters. Must meet all deadlines as prescribed by the election code.
- Ability to learn provisions of the New Mexico Election Code as it relates to the conduct of elections within the county. Duties include, but are not limited to: voter registration, precinct official assignments for precincts, candidate filings, absentee ballot processing and recording, campaign finance filings, voting systems setup and troubleshooting, preparation of ballots, instructions to voters and candidates, preparation of election notices, review of candidate filings and petitions, and post-election canvassing.
- Assists in conducting training of poll workers in the proper operation of the voting equipment and procedures.
- Assists Bureau of Elections’ / County Clerks’ staff by occasional data entry other clerical duties as may be required.
- Performs customer service and Notary Public services; answering phone calls; answering customer questions; searching and copying documents; and furnishing certified certificates.
- Performs other duties as assigned.
Supervisory Controls: Works under the general administrative supervision of the Chief Deputy Clerk, who establishes overall objectives and priorities.
Guidelines: Guidelines consist of State Election Codes, Administrative Rules, and election schedules.
Working Conditions: Work is generally performed in an office setting, with occasional duties at warehouse. Work schedule may include evening and weekend hours. May be subject to CRT’s, VDT’s and UV rays.
Minimum Qualifications:
- High school diploma or equivalent.
- At least one (1) years of experience related to the duties and responsibilities specified.
- A combination of college education, experience or training providing two (2) years’ experience in an office environment.
- Experience working in a county/local government environment.
- Experience working in a broad diverse culture.
- Ability to learn voter registration procedures and laws, coupled with an ability to work independently to meet statutory deadlines.
- Ability to maintain professional relationships with co-workers, county officials and the public.
- Knowledge of Microsoft Office Suite and/or other word processors.
- Records maintenance skills.
- Ability to communicate effectively, both orally and in writing.
- Ability to understand and follow specific instructions and procedures.
- Ability to maintain confidentiality of records and information.
- Word processing and/or data entry skills.
- Skill in the use of operating basic office equipment.
- Ability to create, compose, and edit written materials.
- Organizing and coordinating skills.
- Must possess a valid Driver’s License at time of employment and be insurable for liability purposes; and the ability to possess a New Mexico Driver’s License within six (6) months of hire date.
- Obtain a voting systems technician certification from the secretary of state as training and certification classes become available.
