Job Description: Administrative Assistant
Location: Springfield, OH, 45505
Classification and Title: Administrative Assistant Part-Time
Salary Range: Per Salary Range
Primary Responsibilities
- Provides administrative support to the Chief Executive Officer
- Coordinates and attends monthly Board of Director Meetings, including taking minutes
- Coordinates logistics for all staff meetings and trainings. Keeps attendance records for staff training and other meetings.
- Prepares correspondence and other items as needed for Chief Executive Officer.
- Makes facility arrangements for administrative meetings.
- Chair Performance Improvement Committee and tracks data
- Assists with managing/organizing all agency policies
- Prepare policies for CARF survey
Additional Responsibilities
- Supports CEO in filing, scheduling, clerical, documentation, copying, and correspondence duties.
- Performs other duties as requested by CEO.
- May assist other Administrative Team members with clerical tasks as assigned by the CEO.
Board
- Prepares all materials, correspondence, etc. for monthly Board of Directors meetings.
- Keeps track of Board Member attendance at board and committee meetings.
- Collects annual Board of Director’s surveys
- Coordinates food/refreshments for monthly board meetings.
Performance Improvement
- Schedules PI meetings 1x quarterly
- Maintains minutes for PI
- Manages PI data
Other Duties
- Assists with special projects as assigned by the CEO.
Minimum Education and Experience Requirements
- High School diploma or GED required.
- One to two years of office experience required with experience in secretarial and/or computers.
- Prefer Associate’s Degree in Office Administration or related field.
- Experience with database programs; Microsoft Office preferred.
- Insurable with agency's auto insurance without an increase in premium.
Knowledge, Skills and Abilities Necessary
- Strong time management and organizational skills.
- Knowledge of standard business practices.
- Typing. Strong documentation skills, including clear written composition with grammatical accuracy.
- Good computer skills with knowledge of common software.
- Excellent verbal and written communication skills.
- Tact and ability to work effectively with all types of people, and as a member of a team.
- Attention to detail.
- Ability to lift up to 20 pounds.
