We’re looking for enthusiastic individuals to join us as Inbound/Outbound Call Center Representatives to conduct customer service surveys and enhance our clients' experiences.

Job Overview:
We are looking for an organized and friendly Admin/Receptionist to serve as the first point of contact for all visitors, clients, and incoming communications. This role requires a proactive individual with strong communication skills, attention to detail, and the ability to handle administrative duties in a fast-paced environment. The ideal candidate will be a team player who is comfortable working in a variety of administrative and clerical functions while providing a positive and professional first impression of Encore Management.

Key Responsibilities:
  • Reception Duties:
    • Greet visitors, clients, and guests in a warm, professional manner.
    • Answer and direct phone calls to appropriate departments or personnel.
    • Handle inquiries via email, phone, or in-person and direct them to the correct staff member.
    • Manage the reception area to maintain a tidy and welcoming environment.
  • Administrative Support:
    • Assist with general office tasks such as filing, organizing documents, and maintaining office supplies.
    • Schedule and coordinate appointments, meetings, and conference room bookings.
    • Prepare and send out correspondence, including letters, emails, and packages.
    • Support team members with administrative tasks, such as data entry, preparing reports, and handling client documentation.
  • Calendar and Scheduling:
    • Assist in managing executives' or managers' calendars and ensuring schedules are up-to-date.
    • Organize meetings, events, and other office activities as needed.
  • Mail and Deliveries:
    • Handle incoming and outgoing mail, packages, and deliveries, ensuring proper distribution to the appropriate staff members.
  • Customer Service:
    • Provide exceptional customer service, addressing client or visitor needs in a courteous and timely manner.
    • Follow up with clients or visitors to ensure satisfaction and resolve any issues.
  • General Office Assistance:
    • Provide support with office organization and help ensure the office is running efficiently.
    • Help maintain office equipment and troubleshoot any basic technical issues.
    • Assist in coordinating office events or employee functions.

Qualifications & Skills:
  • Education: High school diploma or equivalent (Associate’s degree or higher preferred).
  • Experience:
    • Strong verbal and written communication skills.
    • Exceptional customer service skills, with a friendly and professional demeanor.
    • Strong organizational skills with the ability to prioritize tasks effectively.
    • Proficient in Microsoft Office Suite (Word, Excel, PowerPoint) and office equipment.
    • Ability to multitask and remain calm in a busy environment.
    • Attention to detail and ability to work independently.
  • Physical Requirements: Ability to sit or stand for extended periods and lift up to 25 lbs. (if applicable).

Salary : $35,000 - $45,000
