JOB DESCRIPTION
Are you looking for a dynamic, growing company that values family, excellence in quality, and exceptional service? McLane Global is seeking an Executive Assistant to join our team. This key role will report directly to the CEO, as well as occasionally support the company owner and other senior leadership members. The Executive Assistant will be entrusted with highly sensitive and confidential information, ensuring the seamless execution of tasks across various areas such as communication, scheduling, travel management, and office operations. This role requires strong organizational skills and the ability to handle a variety of administrative responsibilities.
ROLE RESPONSIBILTIES
The Executive Assistant is responsible for the following, but not limited to:
- Handle confidential information with discretion
- Strong written and verbal communication - such as writing and editing e-mails, drafting memos, and preparing communications on the executive’s behalf
- Flawlessly execute tasks with a sense of urgency
- Executive expense management
- Meeting preparation/scheduling – Schedule appointments and maintain and update CEO’s daily calendar, sending reminders and organizing catering when necessary
- Coordinate internal and external meetings, ensuring all logistics are in place
- Provide comprehensive administrative support to senior executives, including calendar management, scheduling, and travel arrangements
- Assist HR with Employee Engagement activities, functions, and/or events
- All other duties as assigned
Office Management responsibilities:
- General Office Administration – Welcoming visitors and identifying the purpose of their visit before directing them to the appropriate department; screen all incoming phone calls, inquiries, visitors, and correspondence, and route accordingly
- Oversee daily office operations, including managing supplies, equipment, and vendor relationships
- Coordinate/direct the facility Maintenance, repairs, and office improvements
- Assist in organizing employee engagement events, meetings, and employee functions
- Act as the primary point of contact for office-related queries
- Perform other duties as assigned
MINIMUM REQUIREMENTS
- Minimum experience of 2-5 years of administrative assistant experience
- Time Management and ability to meet deadlines
- Ability to work independently and handle multiple tasks efficiently
- Proven experience in office management and/or executive assistance roles
- Excellent verbal and written communication skills
- Experience in managing corporate events and employee engagement
- Strong organizational skills and ability to prioritize multiple tasks seamlessly with a strong attention to detail
- Proficient in Microsoft Office (Outlook, Word, Excel, and Power Point)
- Able to read, write and speak both English & Spanish fluently (bilingual preferred)
- Able to work outside of normal business hours as needed
- 100% Attendance is required
- Licensed Texas Notary, preferred
WORKING CONDITIONS
- Keyboarding: Up to 8 hours per day
- Sitting/Standing: Up to 8 hours per day, with the flexibility to alternate between sitting and standing
- Verbal Communication: Up to 8 hours per day, effectively conveying information and instructions

Salary : $58,000 - $65,000
