Job description
The Purchasing Coordinator will hold an integral / critical role within our organization. Our projects rely on this person to ensure materials are ordered and ready at the time of installation. This is a high-volume position that requires intense focus, high degree of organization and a solid understanding of our business.
MAIN RESPONSIBILITIES
- Communicates with Project Managers and Sales regularly regarding new orders, special orders, change orders, long lead times, job scheduling, etc.
- Prepares and reviews purchase orders for accuracy. Cross references multiple sources to ensure correct products are ordered.
- Communicates with MFI warehouse personnel on a regular basis to verify inventory of stock materials before issuing POs for new material
- Confirm all pricing, carton quantities, availability, and freight with suppliers before issuing POs.
- Sends POs to suppliers; monitors and expedites orders when required
- Confirms all purchase orders are received by suppliers within 48 hours of execution and schedules deliveries as needed.
- Monitors lead times to ensure orders are received as close to the time of need as possible. Tracks timeframes as necessary.
- Maintains / updates Material Status reports relied on by Project Management and Clients with order date, material ETAs, lead times and other pertinent information.
- Order, coordinate delivery of storage containers to jobsites as required.
- Verify current pricing monthly on accessory items such as tack strip, zbar, primers, adhesives. etc.
- Ensure notes are entered in purchasing system regarding pricing, conversations, emails, etc. to for reference and reconciliation later.
- Identifies PO requests from Project managers as material shortages, change orders, contractual scope, etc. Seeks proper approval before moving forward with requests.
- Prepares purchase orders for material purchased at Home Depot, shipped via Fedex and temp labor requested at jobsites.
