Position Overview
Reporting to the Head of Development, the Database Administrator is responsible for maintaining development and donor data integrity and overseeing all cross-departmental use of the primary fundraising CRM, Blackbaud Altru. This includes event and ticket set-up, data pulls for mailings and analysis, and maintaining Altru functions associated with ticketing and membership fulfillment. The Administrator will be the database expert of Altru and will provide additional support for any other database integrated with Altru, such as XTruLink. Ability to independently troubleshoot Altru problems and seek answers with Blackbaud and integrated services is imperative. The Administrator will also recommend and provide training in Altru for other roles and departments and provide written updates on any changes in Altru that impact current or planned back-office processes.
The Administrator is responsible for overseeing all database projects and reporting from Membership and Development programs. The Administrator will work collaboratively with departments including Communications and Marketing, Finance, Special Events and others, when there is an opportunity to improve the database or grow the constituent base through the use of data for analysis of ticket and membership purchasing trends. In addition, the Administrator will produce financial reports from the CRM for the Development and Finance departments for reconciliation. Day-to-day activities include managing daily revenue and attendance reports, reviewing the accuracy of data entered by colleagues. Additionally, this position will create queries in the system for a variety of reporting needs and will act as the project manager for all database and database related technology projects.
Essential Job Functions
- Responsible for handling a high volume of daily data entry for contributions, memberships, grants, and pledges.
- Monitors day-to-day usage of database system, and ensures proactive data scrubbing and routine cleaning including but not limited to merging duplicate accounts, identifying missing information/blank fields, organizations missing primary contact information, etc.
- Troubleshoots database system and performs bugfixes. Reviews database for data quality and integrity.
- Evaluates database systems to create an organizational data strategy that supports Development operations.
- Maintains accurate and up-to-date donor contact and biographical information including returned mail, address updates, etc.
- Maintains organized constituent records and record-keeping as needed, including adding gift information and donor correspondence to records as needed.
- Provides excellent and timely customer service to internal staff and external customers who request information, including recent and past donations and other donor records.
- Provides donor history and records to Department, Executive staff, and Board as requested.
- Provides mailing and email lists, and other queries to all departments as needed.
- Works collaboratively with the Communications and Marketing Department to provide timely updates and materials for the Museum website and emails including creating and reviewing corresponding online payment and donation forms, webpages, email lists, and invitations as needed.
- Assists the Finance department with gift reconciliation with the general ledger as needed.
- Maintains absolute confidentiality, as well as friendly, cooperative relationship with department members, Museum staff, Board, volunteers, Members, and all donors.
- Performs other duties as assigned.
Requirements:
- Education or experience that indicates the ability to work under pressure and to handle a high volume of detailed database management.
- Time management skills with high attention to detail and accuracy are essential.
- Experience in Altru or strong knowledge of databases required.
- Computer experience with data entry and proficiency in Microsoft products is required.

Education & Experience Education:
- Bachelor’s Degree required, or equivalent combination of education, training, and experience.
- Minimum of 2 years of experience in database entry, development operations, or comparable experience.
