Summary

The Associate Director, Patient Access Support Services, under the direction of the Associate Vice President, Access Strategic Operations, provides oversight to the Access Service Line Liaisons and Associate Access Liaisons. The Associate Director will provide direction and decision support to the teams and partner with center leadership to support Service Line and access operations, in partnership with the Director of Patient Access Operations. This position is responsible for development of the analytics platform to support Access and oversight of key project management initiatives related to patient access.

This position will require an onsite presence of 1 to 2 days per week, or additional as needed to support operations.

The ideal candidate will have experience in a Project Manager or Program Manager level role in healthcare, as well as experience interpreting data. Experience creating and delivering presentations to large audiences is also preferred.

Key Functions

Direct Support of Service Lines and Access Operations

  • Identifies and maintains team's focus on the most pressing patient access issues
  • Ensures the Patient Access Division is focused on high value-added activities based on priorities
  • Leads teams of access liaisons to drive overall improvement in patient access performance
  • Oversees development of analytic approach to access measurement and monitoring
  • Fosters a psychologically safe environment to ensure team members feel comfortable raising issues and risks
  • Builds a productive feedback culture across the team. Manages overt or passive resistance to ongoing change management efforts
  • Collaborates with the Director of Patient Access Operations
  • Communicate information to all relevant parties in a timely and effective manner; share performance data with all levels; provide frequent, specific, and immediate feedback. Maintain strong communication and relationships with departments/areas; report key metrics and improvement plans at monthly meetings and more frequently as needed.

Financial Management

  • In collaboration with AVP, plans, organizes and directs all activities related to financial management, including financial planning, budgeting and stewardship of financial resources for the Patient Access Support Services Team
  • Manage finances for patient access support services

Human Resources

  • Guides the timing and execution of human resource activities, staff recruitment, and employment contracts.
  • Follow HR rules and guidelines; design department-specific HR policies (as needed); design and implement hiring model for service behaviors
  • Promote global and individual training; design department level staff development plans based on common needs
  • Collaborations and Problem Solving

Support and Mentorship

  • Collaborate with and support administrative leads within the Service Line to assist with the development and implementation of new processes
  • Support access liaisons and serve as an expert resource for faculty and staff with regard to all Service Line related issues and changes.
  • Provide ongoing information concerning changes in policy, workflow, institutional initiatives, etc. to relevant faculty and staff.
  • Encourage staff development for succession planning purposes and career growth opportunities

Other Duties as Assigned

Education

Required: Bachelor's Degree Science or medical related field, business or healthcare.

Preferred: Master's Degree Science or medical related field, business or healthcare.

Experience

Required: 5 years Access related area, project management, clinical operations, or analytical field to include three years of supervisory or management experience. Experience with Epic.

Successful completion of the LEADing Self Accelerate and/or LEADing Self Discover programs may substitute for one year of required supervisory or management experience. Completion of both programs can be substituted for a maximum of two years of supervisory or management experience.

Must pass pre-employment skills test as required and administered by Human Resources.
