KEY FUNCTIONS
Coordination of Work Flow
Respond and take initiative to contact vendors for sourcing, availability, coordinating scope of work, fee schedules/pricing, delivery scheduling, and order placement. Generate and review purchase order requisitions for accuracy, completeness, and ability to process. Enter extensive and varied order information into PeopleSoft promptly and accurately. Coordinate and distribute purchasing order data and maintain purchasing details data for reporting purposes, such as purchase order funding and payments per vendor in spreadsheet (MS Excel) format. Ensure that purchases are within prescribed delegation of dollar limits and use good judgment to make independent decisions within general guidelines. Act as liaison between the department and Purchasing, Business Affairs, Materials Management, and Accounts Payable regarding procedures, coordination, and problem solving. Coordinate and expedite receiving of goods by working with receiving facilities and assigned vendor. Work with Purchasing Services and vendor to return goods, approve and resolve invoice exceptions and take necessary corrections to orders. Document poor vendor performance and notify Purchasing of vendor difficulties. Prepares and maintains records.
Communication
Convey information clearly and concisely in both verbal and written communications. Listen and respond appropriately to others. Educate department staff about institutional purchasing procedures, guidelines and policies. Develops and maintains professional working relationships.
Administrative Support/Procurement Knowledge
Copy, fax, compose, edit, proofread, answer or make telephone calls. Maintain and update Leukemia Department Finance Team files. Work closely with and maintain effective working relationships with all staff, supervisors and the public. Communicate verbally and in writing, as needed or as requested. Maintain confidentiality
-Applies expert knowledge of institutional purchasing methods and procedures for the goods and services being purchased. Applied knowledge in the review and analysis of procurement issues.
EDUCATION
Required: High school diploma or equivalent.
Preferred: Bachelor’s degree.
EXPERIENCE
Required: Six years in a general business environment experience. With preferred degree, two years of experience in a general business environment is required.
