As we continue to scale, we are seeking a highly organized, proactive, and tech-savvy Executive Assistant (EA) to support our CEO and leadership team.
This role is ideal for someone who is detail-oriented, forward-thinking, and thrives in a fast-paced environment. The right candidate will play a critical role in keeping operations running smoothly and ensuring the CEO remains focused on high-impact priorities.
Key Responsibilities
Executive Support & Organization
- Manage scheduling and calendar coordination, ensuring priorities align with business objectives.
- Oversee time management and task prioritization, keeping the CEO focused on key initiatives.
- Manage email and inbox communications, including filtering, drafting, and responding on behalf of the CEO.
- Ensure accountability by tracking outstanding tasks and following up to maintain momentum.
- Prepare for meetings by compiling agendas, conducting research, taking notes, and tracking follow-ups.
Technology & Systems Management
- Utilize various business technology tools to optimize workflows and improve efficiency.
- Manage Salesforce CRM or learn quickly to support client tracking and internal reporting.
- Work with project management tools such as Trello, Asana, ClickUp, or Notion.
- Familiarity with AI tools (such as ChatGPT) is a plus, or a willingness to learn how to incorporate them into daily operations.
Workflow & Business Operations Support
- Enhance operational efficiency by implementing organizational processes and structures.
- Lead internal initiatives and special projects that align with company growth.
- Work with cross-functional teams, including Sales, Legal, and Medical, to coordinate business needs.
- Research and document SOPs for workflows and process optimization.
Travel & Event Coordination
- Manage travel logistics, including flights, accommodations, itineraries, and expenses.
- Coordinate industry conferences, speaking engagements, and key client meetings.
Qualifications & Skills
- 3-5 years of experience as an Executive Assistant, Chief of Staff, or in a similar role supporting a C-level executive.
- Tech-savvy and adaptable, comfortable using business software and systems to improve efficiency.
- Strong organizational and prioritization skills, with the ability to bring structure to fast-moving environments.
- Self-starter and proactive problem solver who anticipates needs before they arise.
- Excellent written and verbal communication skills, professional, articulate, and detail-oriented.
- High-energy and quick thinker who thrives in a growing, fast-paced business.
- Experience with project management software such as Trello, Asana, ClickUp, or Notion is a plus.
- Ability to handle sensitive and confidential information with professionalism.
- Familiarity with AI-powered tools or willingness to learn how they can improve workflow.
- Advanced knowledge of software applications including Word, Excel, Google Calendar, PowerPoint and Adobe.
