Position Overview
The Office Manager is a highly organized, dynamic, and experienced leader that oversees the daily operations and contributes significantly to the growth and efficiency of the Center. The Office Manager is the key person that collaborates with the Medical Director and the HBOT technicians to deliver excellent and efficient patient experience. The Office Manager must also prioritize safety and proper patient outcomes through their hands-on management of the business.
Key Responsibilities
Operational Management:
- Manage all aspects of the center’s daily operations, aiming for the highest levels of safety, efficiency, and patient satisfaction.
- Address and resolve any issues that may arise, maintaining a proactive approach to problem-solving.
- Coordinate oxygen delivers and oversee the management of oxygen inventory levels to ensure uninterrupted therapy services.
- Handle billing processes, including patient charges and packs, ensuring accuracy and compliance.
- Implement business growth tactics, such as engaging with local physicians and practices, nurturing existing referral sources, and developing new partnerships.
Team Leadership and Staff Management:
- Provide oversight and leadership to HBOT technicians, fostering a collaborative and high-performing team environment.
- Develop and implement staffing plans and schedules to ensure optimal staff levels and efficient operations.
- Manage staff training, performance evaluations, and professional development opportunities.
Patient Onboarding and Inquires:
- Oversee the onboarding process for new patients ensuring a smooth and welcoming experience.
- Manage inbound patient inquiries, providing informative and compassionate responses to questions and HBOT treatments and services.
- Coordinate patient intake forms and schedule consultations with the Medical Director as required.
Safety and Compliance:
- Serve as the Safety Coordinator, overseeing the center’s safety program to ensure a secure environment for both patients and staff.
- Ensure compliance with all stated regulations, safety standards, and center policies.
Qualifications
- Proven experience in an administrative or healthcare management role, with a preference for candidates with experience in hyperbaric oxygen therapy centers or similar medical facilities.
- Strong leadership skills with the ability to motivate and manage a diverse team.
- Excellent organizational and multitasking abilities, with a keen attention to detail.
- Outstanding communication and interpersonal skills, capable of building strong relationships with patients, staff, and industry professionals.
- Willingness to stay updated on industry developments and participate in continued education and professional growth opportunities.
