The Job: The Medical Front Office Assistant is responsible for welcoming patients and visitors by greeting them in person or on the telephone, answering or referring inquiries, and optimizing patients' satisfaction and provider time by efficiently scheduling appointments.To succeed in this role, the Medical Front Office Assistant must effectively handle communication between patients, members of their families, care providers, and other healthcare organizations. In this role, you will provide appropriate feedback to the medical team, provide follow-up information to patients about their health concerns, organize appointments with physicians, and refer patients to new sources of care.

Responsibilities associated with this job:
- Clean, organize, and prepare office surgeries and appointments (organize magazines, brew coffee, etc.)
- Welcome/greet patients and guests in person or on the telephone as they enter the office.
- Check-in patients for surgical appointments and office visits (compile new patient charts and/or update existing patient information, provide coffee, tea, water, etc.)
- Answer telephone promptly, schedule patient appointments, and address patient inquiries.
- Call and schedule follow-up appointments
- Guide patients to surgical rooms
- Patient insurance verification and authorization
- Complete confirmation and reminder calls for next-day surgical procedures and appointments (generally, reminder calls are started at 8:30 am)
- Complete follow-up calls to check in with the previous day’s surgical patients (generally, follow-up calls are started at 10:30 am or can be performed in the afternoon)
- Update the schedule and ensure accuracy.
- Mail new patient forms and appointment reminder cards.
General Responsibilities:
- Maintain office flow and operations by following and upholding policies and procedures.
- Protect patients’ rights by maintaining confidentiality of personal and financial information.
- Contribute to team effort and accomplish a team-like atmosphere.
- Comfort patients and help patients in distress by responding to emergencies and answering questions.
Education, Training, and Professional Experience
- High School Diploma or GED certificate, or an Associate Degree in Nursing, a similar field, or relevant experience
- 3-5 years of medical front office experience.
- Customer service experience
- Familiar with Medical terminology
- Excellent computer skills and mastery of Microsoft Office pack
- Excellent verbal and written communication skills
- Able to collaborate and work well with a team of other caretakers.
