Position Summary
As the Land Right-of-Way Administrative & Database Specialist, you will support our Land Department by organizing and maintaining right-of-way documents, ensuring compliance with industry regulations, and contributing to our project management efforts. You will work closely with Land Agents, Project Managers, and other internal stakeholders to track agreements, generate reports, and facilitate effective communication regarding land acquisitions and right-of-way documentation.
Responsibilities
- Document Management: Organize, maintain, and update digital and physical land records, right-of-way agreements, and related legal documents in company databases.
- Data Entry & Verification: Input critical details (e.g., landowner information, lease terms, expiration dates) into specialized databases and verify accuracy to ensure regulatory compliance.
- Reporting & Analysis: Generate regular status reports, summaries, and project updates for Land Agents, Project Managers, and other teams.
- Communication & Coordination: Serve as a liaison between internal departments, outside counsel, and landowners to confirm details, answer questions, and expedite document approvals.
- Compliance & Quality Control: Assist in auditing files and records to meet internal quality standards and external regulatory requirements; track missing or outdated documents and follow up on updates.
- Process Improvement: Suggest enhancements to data management processes and tools to increase efficiency and reduce errors.
Qualifications
- Education:
- Currently pursuing or recently graduated with a degree in Business, Real Estate, Energy Management, or a related field.
- Coursework or interest in land management, real estate law, energy, or project management is a plus.
- Technical Skills:
- Proficiency in Microsoft Office (Word, Excel, and PowerPoint).
- Familiarity with database software or document management systems preferred.
- Strong attention to detail and ability to ensure data accuracy.
- Soft Skills:
- Excellent organizational and multitasking abilities to handle multiple projects concurrently.
- Strong written and verbal communication skills for effective collaboration.
- Positive attitude, adaptability, and willingness to learn in a fast-paced environment.
