The Company:
Our client is an industrial services company that has been proudly servicing the Houston area for over 20 years. They are looking for a full-time direct hire Project Administrator to join their team for $60K-$65K. This position is located in the Hobby area (77075).
The Ideal Candidate:
A proactive and detail-oriented project administrator with a proven ability to manage documentation, coordinate timelines, and support budget tracking. Known for exceptional organizational skills and effective communication, they thrive in fast-paced environments, ensuring seamless collaboration and successful project execution. Proficiency in Microsoft Office is essential, and familiarity with ProCore is a valued bonus.
The Expectations:
- Prepare, organize, and manage project documents such as contracts, permits, RFIs, change orders, and submittals.
- Maintain accurate and up-to-date records in both digital and physical formats.
- Ensure all project documentation complies with company policies and regulatory requirements.
- Assist with scheduling meetings, site visits, inspections, and other project-related activities.
- Coordinate project timelines, milestones, and deliverables in collaboration with project managers and contractors.
- Serve as the central point of contact for communication between project teams, subcontractors, clients, and other stakeholders.
- Draft and distribute meeting minutes, correspondence, and project updates.
- Address project-related inquiries promptly and professionally.
- Assist with preparing and processing project-related invoices, purchase orders, and expense reports.
- Track budgets and costs to ensure projects remain on budget.
- Support in creating financial reports and forecasts for ongoing projects.
- Monitor project progress and compile weekly and monthly status reports.
- Track project tasks, deadlines, and issues, ensuring timely follow-up and resolution.
- Support quality assurance efforts by documenting punch lists and tracking project close-out activities.
- Organize and maintain project files, calendars, and databases.
- Order office and project site supplies as needed.
- Assist with onboarding new project team members, subcontractors, and vendors.
The Experience and Education:
- Project administration experience Required
- ProCore knowledge is a huge plus
- Proficient in Microsoft Office
