Key Responsibilities:
Dispatching:
- Schedule and dispatch plumbing and heating technicians to customer locations.
- Ensure technicians have the necessary details, equipment, and work orders before leaving the office.
- Coordinate and prioritize service calls based on urgency and availability.
- Manage technician schedules, ensuring optimal routes and effective use of time.
- Maintain accurate records of dispatched work and technician activity.
Customer Service:
- Handle incoming customer inquiries via phone, email, or online chat, providing information about services, scheduling appointments, and addressing any concerns or issues.
- Resolve customer complaints professionally and efficiently, escalating when necessary.
- Provide updates to customers regarding the status of their service appointments.
- Process payments and maintain customer accounts.
- Follow up with customers post-service to ensure satisfaction and gather feedback.
Administrative Support:
- Maintain detailed and organized customer files, including service history and special requests.
- Assist with billing inquiries and provide accurate invoices to customers.
- Collaborate with the operations team to ensure smooth workflow and timely service delivery.
Qualifications:
- High school diploma or equivalent (some college coursework or certifications in customer service or dispatching preferred).
- Proven experience in dispatching, customer service, or administrative roles, preferably in the plumbing, heating, or construction industry.
- Excellent communication and interpersonal skills.
- Strong problem-solving abilities and attention to detail.
- Ability to multitask and thrive in a fast-paced environment.
- Basic computer skills, including proficiency with Microsoft Office and scheduling software (experience with service management software is a plus).
- Ability to work flexible hours, including evenings or weekends if required.
Preferred Skills:
- Previous experience in a plumbing or heating company.
- Knowledge of HVAC or plumbing terminology.
- Bilingual (English/Spanish) a plus.
