Position Summary:

This dual-role position oversees office efficiency while driving business growth through strategic partnerships, community outreach, and client engagement. The ideal candidate will possess strong leadership, administrative, and communication skills to seamlessly manage operations while spearheading business development initiatives.

Primary Responsibilities (include but are not limited to):

Office Management:

  • Oversee daily office operations, ensuring a smooth and efficient work environment.
  • Manage office supplies, equipment, and facilities to maintain a productive workspace.
  • Supervise administrative staff and coordinate workflow among departments.
  • Handle scheduling, correspondence, and record-keeping for senior leadership.
  • Ensure compliance with company policies, procedures, and safety regulations.
  • Assist with HR functions, including onboarding, employee engagement, and performance tracking.
  • Manage vendor relationships and negotiate contracts for office-related services.
  • Assist in the creation and maintenance of an operational handbook, including patient orientation to the program
  • Collect and organize data for performance improvement plans as necessary
  • Work with the Compliance Department to oversee the creation and maintenance of policies and procedures in compliance with company policy, state, and Joint Commission regulations.
  • May function as Safety Officer, ensuring compliance with all risk and safety policies as well as state and Joint Commission regulations.
  • Coordinate all administrative activities, including scheduling of therapies and activities, and provide daily supervision to administrative clerical staff.
  • Coordinate onboarding and offboarding of new staff, as well as personnel file maintenance with Corporate Human Resources.
  • Work with the Business Office to ensure prompt and accurate posting of charges and collection of payments

Business Development Liaison:

  • Proactively seek and develop new business opportunities to grow the companys client base (In-Person and Virtual)
  • Cultivate and maintain strong relationships with clients, partners, and industry stakeholders.
  • Develop protocols for conducting tours and organizing networking events.
  • Collaborate with hospitals to establish a seamless door-to-door patient transfer process.
  • Maintain close collaboration with internal case managers to keep them informed about Chicago MOC and local SLEs.
  • Design and execute strategic marketing and outreach initiatives to boost brand awareness.
  • Work closely with sales and marketing teams to drive revenue growth and expansion.
  • Represent the company at networking events, conferences, and industry meetings.
  • Monitor market trends and competitor activities to identify opportunities for growth.

Education, Skills and Experience Requirements:

  • Bachelors degree in business administration, Healthcare, Marketing, or a related field preferred
  • Two years of administrative/clerical support experience required.
  • Minimum of two years experience in the behavioral health field preferred.
  • Experience working with specialty services (Trauma, Chemical Dependency, Eating Disorders) in an outpatient setting preferred.
  • Strong organizational and multitasking abilities with keen attention to detail.
  • Excellent communication, negotiation, and relationship-building skills.
  • Proficiency in Microsoft Office Suite and CRM software.
  • Ability to work independently and collaboratively in a fast-paced environment.
  • Strategic mindset with problem-solving and decision-making capabilities.
  • Knowledge of industry trends and best practices in business development.
