Reports To: Plant Manager

As we grow, we are looking for a skilled and experienced Bookkeeper/Administrative Assistant to join our team.
Position Summary:
We are seeking a detail-oriented and experienced Bookkeeper to manage and oversee the financial and administrative operations of our non-profit, state-of-the-art meat processing plant. This role is critical in ensuring accurate financial reporting, efficient record-keeping, and compliance with non-profit regulations. The ideal candidate will have a strong background in bookkeeping, excellent organizational skills, and proficiency in QuickBooks, Excel, Google Sheets, and Google Docs with the willingness to learn new software. Candidate must be detail-oriented.
Key Responsibilities:
Accounts Payable & Receivable
- Process and record invoices, payments, and receipts accurately and timely.
- Manage customer accounts and ensure timely collection of receivables.
Daily Financial Transactions
- Handle daily deposits and ensure accurate recording of cash flow.
- Monitor bank activity and maintain detailed transaction logs.
Payroll Administration
- Process weekly payroll, ensuring compliance with labor laws and organizational policies.
- Maintain payroll records and respond to related employee inquiries.
Financial Reporting & Reconciliation
- Prepare and distribute monthly financial and analytical reports for management.
- Perform monthly checking account reconciliations and ensure accurate bookkeeping records.
Donation Monitoring
- Track and record donations, ensuring proper documentation and reporting for grant compliance and donor transparency.
Producer & Vendor Invoicing
- Generate accurate invoices to producers and customers.
Supply Procurement
- Manage supply ordering for the facility to ensure operations run smoothly.
- Compare pricing and maintain relationships with vendors for cost-effective procurement.
Administrative Support
- Maintain organized filing systems for financial and operational documents.
- Assist staff with periodic updates on the organization’s websites.
- Coordinate meetings and events with the Livestock Institute Board of Directors.
- Provide administrative support to the Livestock Institute Board of Directors.
- Answer telephone calls, provide customer support, and direct inquiries as needed.
Software Proficiency & Reporting Tools
- Use QuickBooks to manage all financial transactions and reporting.
- Create and maintain spreadsheets in Excel, Google Sheets, and Google Docs to support analytical reporting and organizational needs.

Schedule:
- 4 to 8-hour shift - Monday through Friday
