Job Title: Site Coordinator
Department: Operations
Reports to: Medical Provider/Operations Director
Direct Reports: Office Personnel
FLSA Status: Exempt
General Summary of Duties: Responsible for personnel management and oversight of clinic operations. Responsible for the enforcement of clinic policies and procedures. Responsible for managing the daily operations of the office in conjunction with the Director of Operations. Works as either Front Desk or Medical Assistant when not completing Site Coordinator responsibilities.
Major Responsibilities/Tasks:
1. Oversees the daily office operations at the practice site and coordinates work activities, and schedules to maximize practice potential. Identifies and resolves operational problems.
2. Supervises assigned personnel. Creates, and oversees staff schedule according to staff budget. Reconciles employee time sheets, and monitors overtime.
3. Assists with hiring and training of assigned staff.
4. Signs off on daily bank deposit and approves daily batch reconciliation completed by front desk.
5. Participates in professional development efforts to ensure currency in health care practices and trends.
6. Performs other related duties as directed or required.
7. Maintains patient confidentiality.
8. Provides coverage to front, or backoffice as needed, and monitors office’s daily work with in the EMR system.
9. Adheres to all OSHA standards and guidelines.
10. Serves as liaison between administration and staff to support consistent operation procedures.
11. Follow up on any patient complaints
12. Cover shifts as needed including vacation and call outs of clinic staff
13. Develop staff schedules and publish, ensuring that all PTO requests are added to the schedule and covered. In put into ADP payroll system and correct all timesheet errors.
14. Quality/Billing: Review all quality reports including Blood Pressure, A1C and ensure that both provider and staff understand expectations Also work on follow up reports that patients are scheduled for all follow ups. Follow up on bills from Quest Lab ensuring correct diagnosis code from provider
EDUCATION: Associates, or Bachelor’s Degree preferred.
EXPERIENCE: Minimum of two–five years healthcare experience, and or medical office management.

6. Knowledge of managed care, Medicare, and Medicaid guidelines.

1. Skill in effective personnel management including training staff and delegating duties.
2. Skill in trouble-shooting insurance problems and appealing claims.
3. Skill in maximizing insurance collections.
4. Skill in written and verbal communication.

Equipment Operated: Standard office equipment including computers, fax machines, copiers, printers, telephones, etc.
Work Environment: Workrequires hand dexterity for office machine operation, stooping and bending to files and supplies, mobility to complete errands, or sitting for extended periods of time. Occasionally lifting files or paper weighing up to 20 pounds. Occasionally work environment may be very stressful.
Mental/Physical Requirements: Normal office environment. May view computer screens for long periods of time. Occasional evening or weekend work.
HEALTHCARE COMPLIANCE PROGRAM: All positions within Med First and RMS Healthcare are expected to fully understand Med First/RMS Compliance policies and procedures. Employees are provided training upon hire, annually and regularly notified of changes as needed. It is an expectation that all employees will report any suspected violations of any federal or state laws to either their direct supervisor, Human Resources or the Compliance Officer.
