Job Summary
We are seeking a dedicated and organized Medical Spa Client Coordinator to join our team. The ideal candidate will serve as a liaison between our clients and the company, ensuring that all client needs are met efficiently and effectively. This role requires excellent communication skills, strong organizational abilities, and a proactive approach to problem-solving and sales oriented. The Client Coordinator will manage various administrative tasks while providing exceptional service to our clients.
The Client Coordinator directly supports the sales and operational performance of the clinic through customer engagement and loyalty activities. The Client Coordinator will meet and greet all incoming clients. They foster and nurture positive relationships with clients and ensure all procedures, practices, clients interactions environmental factors unequivocally promote and achieve a favorable client experience.
Responsibilities
Client Experience:
- Greets clients and visitors into the clinic by standing and extending a warm welcome offering a beverage of choice and getting it for them. Clients comfort is a must
- Answers the phone, and can accurately manage multiple client priorities (troubleshoot calls, schedules, and clinic operations and providing information in a timely manner.
- Provide world class customer service to establish and maintain relationships with clients to ensure overall satisfaction while growing, selling and retaining clients.
- Coordinate client appointments and meetings, ensuring all necessary materials are prepared in advance.
- Maintain accurate client records and files, ensuring all information is up-to-date and easily accessible. manage treatment schedules through assisting clients with scheduling needs and scheduling optimization
- Assist Clients/patients by checking them in and out including payment management and incoming all calls and follow up.
- Support the team with clerical duties such as typing documents, filing paperwork, and data entry.
- Collaborate with other departments to ensure seamless service delivery to clients.
- Actively recommend, promote, educate, and sell medical aesthetic services and products
- Provides clinic tours as needed to new clients
Clinic Operations:
The client Operations
The client coordinator assists medical professionals in clinic by:
- Verifying client information, medical history, and confirming purpose of visit in accordance with protocols
- Ensure clinic email is reviewed and handled accordingly
- Maintains cleanliness of clinic, opens and preps morning and evening rooms organizes, including cleaning of treatment rooms, stocking
- Assist in inventory intake and recordkeeping, including preparing of medical charts, filing storage management and HIPPA compliance.
Qualifications
- Sales and customer service experience with medical spa, retail sales
- Previous experience in an office environment or as a personal assistant is highly desirable. With knowledge of business tools (MS Office Suite, phone systems, point of sales CRM)
- Strong organizational skills with the ability to manage multiple tasks simultaneously with prioritizing client experience, with clinic operational duties
- Proficient in using Google Suite applications (Docs, Sheets, Calendar) and other office software.
- Excellent verbal and written communication skills.
- Ability to work independently as well as part of a team.
- Ability to operate with high degree of integrity and confidentiality with sensitive, customer health related information
- Attention to detail and a commitment to delivering high-quality service.
- Ability to gain a working knowledge on products and services to assist with client questions
- Ability to work in a fast paced environment and keep up with high volume of activity and continuous growth/change
- Clear and engaging skills communication skills, including effective written and oral
