Administrative Assistant - Responsibilities:
- Receives and processes daily intakes and/or new referrals in the EMR system independently and accurately
- Contact caregivers/referral source to gather all information needed to process intake immediately upon receipt
- Manages front lobby, walk-ins, unlocking, and locking doors daily
- Answering phones, preparing, and handling complex communication correspondence
- Client facing front desk support and daily duties including in person and telephonic communication with the caregivers of our pediatric clients
- Manages waitlist and communicates regularly with caregivers as to status of admission
- Provide assistance with scheduling clients and communication to appropriate staff
- Coordinates with HR/Business Development to compare Referral Report to Intake status and reports information weekly
- Assists with applicant interview process as needed
- Takes initiative to continually work efficiently to ensure work tasks are kept up to date
- Routine preparation of administrative paperwork and assisting directors in various projects
- Promote good human relations with clients, caregivers, and coworkers
Administrative Assistant - Qualifications:
- Bilingual in Spanish is required
- Bachelor's degree preferred
- 2 years of experience in a medical office setting preferred
- Demonstrates strong organizational and time management abilities
- Knowledgeable in Microsoft Outlook, Word, TEAMS and Excel programs
- Be able to read, write, and comprehend English
