Position Overview:
We are seeking a dedicated and detail-oriented Staffing Support Specialist to assist in the district's hiring process, employee record management, and compliance activities. This position is essential to maintaining smooth operations for recruitment, employee documentation, and communication within the school district. This is a full-time, 12-month, position. The ideal candidate will have a strong administrative background and a commitment to supporting educational staff and personnel.
Key Responsibilities:
- Hiring Support: Assist in the hiring process for all district vacancies, including teachers, teaching assistants, directors, support staff, administrative assistants, coaches, and substitutes.
- Job Postings: Prepare, maintain, and update job postings for vacancies within the district on SchoolSpring.
- Leave Management: Communicate and organize MMLA, FMLA, and medical leave of absence requests for approval by the Director of Finance & Operations and Superintendent. Track and manage all leaves of absence.
- Employment Letters: Prepare and distribute employment letters, including those for new hires, resignations, retirements, non-renewals, and leave of absence. Also create and distribute Summer School appointment letters and letters of reasonable assurance.
- Stipend Management: Create, maintain, and distribute stipend letters for coaches and all extracurricular activities for teachers within the district.
- Personnel Data: Enter, maintain, and update new staff personnel data in appropriate databases.
- Records Maintenance: Maintain and update longevity records and seniority lists for all employees and prepare reports as requested by the Superintendent.
- Certification Compliance: Serve as a contact to research employee compliance with DESE regulations for proper certification.
- Documentation: Organize, maintain, and update files for I-9 forms, CORIs, and fingerprinting for all district personnel. Perform regular audits to ensure compliance.
- Employee Files: Create and maintain all employee personnel files, ensuring that terminations and retirements are properly archived.
- Superintendent Support: Assist the Superintendent in the absence of the Administrative Assistant.
- Course Approval/Reimbursement and Lane Change Process: Organize, manage, and maintain the system for salary advancement / reimbursement for teachers and teaching assistants.
- Liaison with HR Professionals: Maintain relationships with HR professionals and organizations, such as MASPA.
- Other Duties: Other related tasks as assigned by the Superintendent or Director of Finance & Operations.
Qualifications:
- Associate's degree or higher in Human Resources, Business Administration, or a related field preferred.
- Previous experience in human resources, school administration, or a related field.
- Strong organizational skills and attention to detail.
- Proficiency in Google Suite.
- Familiarity with HR software and databases is a plus.
- Ability to maintain confidentiality and handle sensitive information.
- Strong communication and interpersonal skills.
Knowledge, Abilities, and Skills
- Knowledge: Familiarity with HR processes and office software. Knowledge of DESE certification requirements and HR-related compliance a plus.
- Abilities: Ability to communicate complex information clearly and concisely; strong organizational skills with the ability to manage multiple tasks simultaneously. Ability to work independently and maintain confidentiality while handling sensitive information.
- Skills: Excellent customer service, communication, clerical, and organizational skills. Strong attention to detail and ability to maintain accuracy despite frequent interruptions. Proficient in data entry, file management, and recordkeeping.
Work Environment
The majority of work is performed in an office setting.

Pay: $50,000.00 - $55,000.00 per year
