Position Summary:
Sorts, scans and files incoming medical records from outside entities. Processes authorizations for release of information; assists patients, providers, facilities and internal staff with all medical records services.
Essential Functions:
- Responsible for scanning all documents and records to patient medical record
- Responsible for all incoming faxes and assigning to appropriate party and patient chart
- Fulfills all medical record requests from patients and other healthcare professionals and facilities
- Fulfills all 3rd party medical record requests (i.e. life insurance policies, work comp or auto carriers, attorneys and other court-related entities, Federal or State Disability, risk management audits, copy services)
- Responsible for invoicing and collecting pre-payment for medical record requests from 3rd parties such as attorneys, Federal or State disability programs and life insurance policies
- Maintains HIPAA and confidentiality standards and guidelines regarding medical records management and distribution
- Responsible for notifying HIPAA Security Officer of all accidental or potential security breaches regarding patient records.
- Process all outgoing patient referrals including but not limited to medical records while ensuring necessary insurance authorizations are obtained
- Other duties as assigned
Position Requirements:
Education, Experience and Certifications:
- High school diploma or equivalent
- Must have excellent interpersonal, communication and telephone skills
- Medical office experience: 2-3 years (Required)
- Epic EHR: 1 year (Preferred)
- Other EHR: 2-3 years (Required)
- Medical Records: 1 year (Required)
- Medical Record Technician Certification: (Preferred)
Necessary Knowledge, Skills and Abilities:
- Computer experience, preferably in a Windows-based environment.
- Excellent telephone, listening and written communication skills.
- Excellent attention to detail.
- Ability to multi-task and work with minimal supervision in a fast-paced environment.
- Ability to analyze and solve complex problems that may require research and creative solutions.
- Ability to make sound decisions with limited supervision.
- Ability to maintain high level of confidentiality.
- Ability to display professional ethnical conduct at all times.
Physical Requirements
Must be able to meet the physical requirements and demands of an active position, including but not limited to: extended duration of standing, walking, stooping, bending and sitting; manual dexterity; good eye-hand coordination; visual abilities (depth perception, ocular focus, close vision, color vision, and peripheral vision), and adequate hearing to perform daily work. Must be able to adjust physically and emotionally to a spontaneous, fast-paced, and hectic environment.
