About the RoleWe’re hiring a Chief of Staff & Executive Project Manager to serve as a key partner to the CEO and leadership team. This is a high-impact, high-visibility role focused on improving internal alignment, driving cross-functional execution, and ensuring the company operates with discipline and clarity during a critical phase of growth.
You’ll lead strategic initiatives, manage internal priorities, and serve as the connective tissue across functions. You should be equally comfortable digging into operational details, making data-informed decisions, and surfacing the unspoken dynamics that affect team performance.

Key ResponsibilitiesExecutive & Strategic Support
- Serve as a thought partner to the CEO; help prioritize goals, surface blind spots, and drive key decisions.
- Lead preparation and follow-through for board meetings, investor updates, and leadership offsites.
- Prepare high-quality materials and presentations for executive communications, board, and investor meetings.
- Turn strategic plans into tactical roadmaps with clear ownership, milestones, and timelines.
- Act as a bridge between the executive office and all departments, ensuring alignment with MedHaul’s mission and objectives.
Business & Financial Planning
- Partner with the Head of Finance to drive financial planning, KPI development, and business performance tracking in partnership with the CEO and finance team.
- Support budgeting, forecasting, and the development of business cases for new initiatives.
- Use data to inform decision-making, track KPIs, and build accountability systems.
Cross-Functional Project Management
- Drive high-priority projects across product, operations, growth, and finance, ensuring on-time and on-budget delivery.
- Establish operational rhythms (e.g., weekly exec syncs, OKR tracking, department reviews) to keep teams focused and accountable.
- Create and manage internal tools, workflows, and documentation to enable better cross-team collaboration and knowledge sharing.
Insight, Organizational Awareness & External Relations
- Identify friction, misalignment, or inefficiencies early—and take action to address them.
- Support internal communication and help ensure the team stays focused, informed, and connected.
- Manage critical external relationships and negotiations with vendors, partners, and investors to advance MedHaul’s strategic objectives.
- Foster a culture of inclusion, transparency, and continuous improvement, in line with MedHaul’s B Corp values.
- 6–10 years in Chief of Staff, Strategy, BizOps, or Project Management roles in high-growth companies (healthcare or tech preferred).
- Hands-on experience with financial modeling, business planning, and performance management.
- A track record of running large cross-functional projects and turning vision into execution.
- Strong analytical skills and comfort using data to drive insights and prioritization.
- Excellent written and verbal communication—clear, concise, and context-rich.
- High emotional intelligence and organizational intuition—you notice what others miss.
- Experience managing external relationships and negotiations with senior stakeholders.
- A entrepreneur’s mindset—ownership, resourcefulness, and a bias for action in ambiguous environments.
- Experience supporting executive leadership and managing confidential or sensitive initiatives.

Compensation
- Base Salary: $125,000–$150,000, commensurate with experience and location.
