Our team in Rochester, NY, is looking for a detail-oriented and highly organized Event Assistant to join our team. The Event Assistant will play a key role in supporting the planning, coordination, and execution of corporate events, meetings, and special functions hosted by our office. This is an excellent opportunity for an individual with strong multitasking abilities and a keen eye for detail.
Key Responsibilities:
- Assist in the planning, coordination, and execution of in-office events, conferences, and meetings.
- Communicate with vendors, contractors, and event participants to ensure smooth event operations.
- Help maintain the event calendar, scheduling meetings and ensuring all logistics are confirmed in advance.
- Set up and break down event spaces, including arranging furniture, AV equipment, and supplies.
- Assist with the preparation of event materials, including presentations, handouts, and promotional materials.
- Coordinate with internal teams to ensure all event details are met, including catering, transportation, and tech needs.
- Handle event-related correspondence, ensuring timely communication with all stakeholders.
- Maintain event supplies and inventory, ensuring that all materials are available and ready for use.
- Provide on-site event support as needed, assisting with registration, managing guest lists, and resolving any issues that arise during events.
Requirements:
- Experience: At least 1 year of experience in event planning or administrative support is preferred.
- Skills: Strong organizational skills and attention to detail. Ability to multitask and prioritize tasks in a fast-paced environment.
- Communication: Excellent written and verbal communication skills.
- Tech-Savvy: Familiarity with Microsoft Office Suite (Word, Excel, PowerPoint, Outlook). Knowledge of event management software a plus.
- Preferred: A degree in Event Planning, Hospitality, or a related field is a plus but not required.
