Perform duties and responsibilities including, but not limited to : Provide administrative support to the CMO in an efficient, timely, and effective manner
Maintaining calendars, contact lists, and scheduling of meetingsOrganization of phone calls, correspondence, and other mail to include drafting letters and answering or managing emailsMaking travel arrangementsPreparing and tracking monthly expense reportsProcessing and delivering mail and communicationsCreating agendas and taking minutes at meetingsManaging and maintaining budgets and approvals of expenses for the CMOEditing speeches and preparing PowerPoint presentationsPossess the ability to speak “on behalf of” the CMO and attend meetings in her absence, as well as reporting back with action itemsAnticipating the needs of the CMO prior to meetings, providing background information on visitors, and setting up any necessary equipment
Hosting meetings, both on and offsite
Act as liaison to International Disability Center (IDC) guests : coordinate invitations and visits, prepare for meetings, plan and orchestrate luncheons, follow-up calls and correspondence, and other needs required to meet the needs of guestsHost in-person meetings held at the IDC or at offsite locations for team building and brainstorming. This includes meeting room set-up, food and catering, gifts, and other duties assigned
Organize and maintain physical files for the marketing teamAssist the CMO and VP managing tasks in Asana (project management system)Work closely with all departments including; Global Operations, The Joni Eareckson Tada Disability Research Center, Development, and U.S. Ministry Offices to foster communication and relationshipsHelp maintain appearance of the Marketing and Development area including the executives’ offices and conference room. Shop for and stock pantry with supplies as needed for meetings. Maintain the gift closetWork closely with other Executive Assistants on ministry projects and / or events, provide coverage for other Executive Assistants when they are out of the officeOther duties and projects as assigned by supervisor to support department and organizational needsQualifications : Must possess a vibrant personal relationship with Jesus Christ and agree with the Joni and Friends statement of faithDesire to serve in a growing and dynamic Christian service ministry5 years of Executive Assistant experience requiredBachelor’s degree preferred or relevant experienceMust be a self-starter, who is flexible and able to multi-task, support and work cross-functionally with other departmentsCapable of working well in a team environment and committed to professionalism and respect in interactions with co-workers and people served by the ministryMust possess the ability to effectively organize and prioritize a wide range of daily tasks with varied deadlinesSets a high standard of leadership in maintaining a sense of order in the workplaceThe initiative to seek work where needed when specifically assigned tasks are completedGood interpersonal communication skills both verbal and written and the ability to effectively organize and prioritize a wide range of daily tasks with varied deadlines are necessaryMust be detail oriented, committed to accuracy, a team player and self-starter who is flexible and able to work independentlyMust have a strong sense of confidentialityStrong general computer skills are necessary along with a competent, working knowledge of Windows, Microsoft Excel, Microsoft Word, Microsoft Outlook and the InternetUnderstanding of Christian ministry and specifically Joni and Friends is desirableCompensation is $61,000-$70,000 per year.
