Position Overview
The Logistics Specialist/Coordinator plays a crucial role in managing inventory, procurement, warehousing, shipping, and supply chain coordination. This position serves as the link between the sales, design, and installation teams to ensure seamless project execution. The ideal candidate is highly organized, detail-oriented, and a proactive problem-solver.
Primary Responsibilities
Inventory & Warehouse Management
- Monitor inventory levels and reorder stock as needed.
- Maintain an accurate inventory tracking system and serialize items when necessary.
- Conduct periodic inventory counts and year-end audits.
- Receive and allocate equipment from incoming shipments.
- Handle returns, RMAs, and unused/unneeded products.
- Manage warehouse organization, security, and compliance with safety regulations.
- Coordinate restocking van consumables with install teams.
- Receive and list incoming brokerage equipment.
Shipping & Receiving
- Pack, ship, receive, and inspect all job-related equipment and materials.
- Verify the quantity and quality of incoming shipments.
- Maintain Shipment Tracking Calendar and process warehouse freight shipments.
- Compare shipping rates to ensure cost-effective shipping solutions.
- Process e-commerce sales and shipments (eBay/Reverb); update tracking spreadsheets as necessary.
Procurement & Purchasing
- Create and place Purchase Orders and allocate stock for projects.
- Create and process Change Orders and returns.
- Negotiate pricing and terms with suppliers.
- Monitor equipment costs and optimize purchasing efficiency.
- Maintain vendor relationships and documentation.
- Prep stock for job site delivery
Financial & Reporting Responsibilities
- Provide monthly inventory reports to management.
- Accurately update sales and purchase orders into the project management system.
- Audit UPS bills weekly.
- Collaborate with Accounting to maintain accurate records of credits and refunds.
- Perform quarterly audits of packing lists, invoices/receipts, and documentation.
Process Improvement & Compliance
- Continuously improve logistics processes and implement new technologies.
- Ensure compliance with OSHA, local, state, and federal regulations.
- Drive supply chain optimization, reduce lead times, and identify inefficiencies.
Team Coordination & Customer Service
- Work collaboratively with project managers and installation teams.
- Respond promptly to urgent logistics needs.
- Support team members and assist in developing logistics procedures.
Qualifications
Education & Experience
- High school diploma or equivalent.
- Minimum of 2 years of relevant logistics experience.
Skills & Abilities
- Strong leadership, organizational, and problem-solving skills.
- Ability to manage multiple tasks efficiently and meet deadlines.
- Proficiency in inventory management software and warehouse management systems. Experience with D-Tools preferred.
- Strong proficiency in G-Suite (Gmail, Sheets, Docs), and Adobe Acrobat.
- Excellent written and verbal communication skills.
- Self-motivated, well-organized, and responsible.
Certifications
- Forklift Operator License.
- Valid Driver’s License.
Working Conditions
- Physical Requirements: Ability to stand, walk, climb, sit, and use hands frequently. Must be able to lift up to 50 lbs.
- Work Environment: Moderate noise levels in the warehouse; occasional exposure to seasonal weather changes.
