The Medica Transformation Team Operations Lead is the driver of Transformation portfolio coordination, overseeing reporting, stakeholder management, budget management, risk management and driving all key governance forums. This role ensures seamless coordination and execution across the organization's leaders and transformation portfolio. Acting as a central driver of accountability, this position ensures transparent communication, effective risk management, portfolio alignment, and adherence to governance frameworks. The role also includes administrative oversight for the transformation team, keeping efforts on track through dashboards, board presentations, team meetings, and cross-functional coordination to ensure alignment and efficiency. By fostering collaboration and strategic alignment across teams and business areas, this role plays a pivotal role in advancing the organization's vision and strategic goals.
Key Accountabilities :
- Oversight and Operations
- Manage across governance processes, ensuring timely delivery of progress reports, metrics, and key performance indicators (KPIs) to stakeholders. Own sequencing, calendaring and deliverable management for Steer Co. meetings, Board meetings, Investment Review meetings (with Finance team) VP meetings and internal portfolio meetings.
- Act as a liaison between cross-functional teams, senior leadership, and external stakeholders to ensure alignment and smooth execution of governance forums.
- Create, maintain, and refine dashboards to track progress, performance metrics, and budget utilization, ensuring real-time visibility for stakeholders.
- Anticipate future needs and opportunities to support the evolution of transformation portfolio governance and long-term success.
- Oversee the operations of the Transformation Team, maintaining a calendar of critical meetings and team events, organizing stakeholder engagements, and ensuring all necessary meetings and touchpoints are effectively scheduled and executed.
- Portfolio Delivery
- Maintain adequate business knowledge all the various programs within Transformation to objectively advise on governance tasks.
- Facilitate aggregate resourcing forecasts across the Transformation Team and support annual budget management
- Act as team lead and collaborate with other Transformation team leaders on managing Portfolio tools and designing outputs from those tools to leverage in stakeholder forums (e.g. Project Management tool)
- Delivery Enablement
- Coordinate with Communications team on ongoing communication strategies and themes to ensure transparency and alignment across all levels of the organization, including executive summaries and detailed updates.
- Cross-Functional Integration- Coordinate across Transformation teams (intake, delivery, finance) and with IT and Business liaisons to drive governance sequencing, content and deliverables.

This position is an Office role, which requires an employee to work from the designated office - Minnetonka, MN, Madison, WI, or Omaha, NE - , on average, 2 times per week.
The full salary range for this position is $111,200 - $190,600. Annual salary range placement will depend on a variety of factors including, but not limited to, education, work experience, applicable certifications and / or licensure, the position's scope and responsibility, internal pay equity and external market salary data. In addition to base compensation, this position may be eligible for incentive plan compensation in addition to base salary.
