- Oversee the daily operations of the medical practice, ensuring efficiency and effectiveness across all departments.
- Manage staff schedules, including medical, administrative, and support teams.
- Handle patient inquiries, complaints, and concerns with a focus on excellent customer service.
- Implement and maintain medical office policies, procedures, and protocols.
- Ensure compliance with healthcare regulations and standards, including HIPAA and OSHA guidelines.
- Oversee financial management, including Quickbooks budgeting, billing, and ADP payroll.
- Coordinate with external vendors, insurance companies, and healthcare providers.
- Manage patient flow and appointment scheduling to optimize productivity.
- Lead recruitment, onboarding, and ongoing training for new staff members.
- Prepare reports for leadership, track key performance indicators, and suggest improvements to enhance practice efficiency.
- Manage inventory of medical supplies and office equipment.
- Proven experience as a Medical Office Manager
- Strong knowledge of medical office operations and healthcare industry regulations.
- Exceptional leadership, communication, and interpersonal skills.
- Proficiency in medical office software and electronic health records (EHR) systems, Athena (preferred)
- Strong organizational and time-management skills, with the ability to multitask effectively.
- Ability to work independently and collaboratively in a team-oriented environment.
- A background in financial management, including experience with Quickbooks, medical billing & coding, ADP payroll, patient aging / collections, daily deposits and office budgeting.
- Associates or Bachelors degree in healthcare management, business administration or related field required.
